Your role
Position Summary:
To manage client projects by facilitating internal developmental work. To ensure quality and timeliness of submissions and presentations to client.
Duties and Responsibilities:
Essential Functions:
A. Support execution of fragrance brief which includes managing project timelines, coordinating project meetings, closing out project from product number assignment to collation of paperwork and samples. Serve as main focal point during the brief process. Manage and monitor stability process. Maintain Project Management System. Ongoing communication within Sales, Evaluation, Perfumers, Perfumery/Sample Labs, Applications, QC and Regulatory.
B. Ensure Time Lines are Met –Follow project submission from inception to end through
Perfumery, Applications, Evaluation. Meeting a deadline is imperative to pushing our potential on a project to a “win.”
C. Manage Customer Inquiries and resolve independently under deadlines
Keep abreast of the status of every project and take initiative to respond to a customer request in the absence of the sales person.
D. Prepare all data/documentation and marketing descriptions to accompany sample submissions. Ensure Criteria of Customers Specifications are met. Final “eyes” on everything being submitted to the customer and need to verify all requirements are adhered to.
Other Functions:
A: Processing / Generating paperwork
Work in Doc Requestor, SAP, SIEBEL, EIS, Assist with forecasting
About you
Knowledge and Experience Requirements:
B.A. or B.S in related field or equivalent experience. Must have 3-5 years general office experience, preferably in the fragrance/cosmetic business.
Skills & Abilities:
Ability to work with others. A large part of this position is not our own personal work but that of coordinating an entire team’s effort. You have to be a team player and create good internal working relationships to ensure meeting the client’s deadlines and needs. Willingness to learn and grow within the company. Must have a sense of urgency and excellent customer service skills. Ability to multi-task, demonstrate self-initiative. Good follow-through skills a must. Must be detail oriented and proficient in Microsoft Office (Word, Excel, Powerpoint, etc).
