The Administrative Assistant facilitates efficient operations by performing of clerical and administrative duties that support a variety of departments.
Duties/Responsibilities:
- Welcomes and directs visitors and clients.
- Answers and transfers phone calls, screening when necessary.
- Processes mail daily, distributing/scanning to recipient. Take mail nightly to mailbox.
- Monitors postage level on meter and replenishes as needed.
- Schedule courier for client deliveries.
- Support Human Resources through daily processing of Everify for clients. Communicates issues for resolution to the HR Business Partner.
- Maintains office supply inventory, placing orders as needed with approval by Finance Manager.
- Support payroll in monitoring and mailing live checks daily.
- Updates Employee Self Service Portal as needed with benefit documents (SPD’s, etc) ensuring a professional appears to ESS users.
- Supports benefits in preparing and distributing documents for benefit enrollment of new clients and/or for annual open enrollment.
- Supports enrollment activities via telephone and in person for those going through Open Enrollment or Benefit Enrollment
- Supports benefits throughout the year assisting with communication, education, enrollment, and benefits special projects.
- Assists with audit projects to ensure quality delivery of services. May include benefits, payroll, client, and 401k data.
- Liaison for office vendors (shredding, printer, postage, building maintenance).
- Performs other related duties as assigned.
