Documentation Specialist
Our client located in South Jersey is currently looking for a Contract Administrator to report directly to the Director of Project Management. The company is the leader in the design, technology and manufacturing of steam condensers and heat exchangers that support the US Navy Submarine, Aircraft Carrier and other programs. ESSENTIAL FUNCTIONS
This position is concerned with administrative functions relating to the interpretation of contractual
requirements and the dissemination of pertinent information necessary to process the work to meet
contractual obligations. The position also has responsibility to keep the customer informed as to
contract status and to assure that billings are made promptly. The position is responsible to ensure a
smooth flow of contractually required information to all internal disciplines and to the customer.
To perform this job successfully, an individual must be able to perform each essential function
satisfactorily.
- Typically handles routine or standard form contract agreements and related documentation
in accordance with established contract policies and procedures. Requires a minimum of
independent business judgment and a high degree of management attention.
- Reviews solicitations and prepares routine response for proposals, bids, and contract
modifications. May also prepare simple requests for proposals.
- Analyzes contract requirements, special provisions, terms and conditions to ensure
compliance with appropriate laws, regulations, and Company policies.
- Acknowledges acceptance of contracts consistent with skills and grade level.
- Drafts and negotiates simple contractual instruments commensurate with skills and grade
level.
- Communicates contract policy to internal disciplines.
- Ensures contract review, approval and execution in accordance with Company policy and/or
guidelines.
- Prepares and administers routine correspondence, negotiation memoranda, and contract
documentation to ensure timely and coordinated submittal.
- Prepares, organizes and maintains contract records and files documenting contract
performance and compliance.
- May conduct research to support contract audit and/or to facilitate Company trends.
- Perform contract closeout activities.
- Assists mid-to-senior level contract professionals in working with internal disciplines or
vendors on issues and developments relative to assigned contracts.
SKILLS & ABILITIES
Education:
Bachelor's Degree in a business-related major, or equivalent specialized training,
knowledge, and experience.
Experience:
3 of years general business or contract-related experience is preferred.
Computer Skills:
Excellent computer skills required. Must have working knowledge of ERP
systems and Microsoft applications such as WORD, Excel, Outlook, and Power Point.
Other Skills & Abilities:
- Basic to working knowledge of contracting concepts, Uniform Commercial Code, applicable
international law, or public contract acquisitions law and regulations.
- Good to strong analytical and communication skills. Ability to draft basic contractual
instruments in accordance with prescribed templates and guidelines.
