Job Summary

The Human Resources Coordinator supports employees and connects them with the resources and information throughout the employee lifecycle.

This role will build effective relationships with managers and employees to support all phases of the employment cycle from onboarding through departure. Responsible for responding to employee inquiries and questions, administrating HR processes and services, managing data in HR systems and communications relating to (hires/terms/personnel actions).

This is Full Time role has a; hybrid work schedule option of 2 days remote and 3 days on site at our TÜV SÜD America, Inc. Wakefield, MA Headquarters.

HR Administration (85%) Ensures completion of all necessary employment paperwork and other related processes for new employees within the U.S, starting with creating offer letters, processing background checks, notifying internal departments, setting them up in HRIS system (ADP) providing onboarding paperwork (benefits, employee handbook, coordinates virtual calendar invitations for new hire onboarding/orientation etc.)

Responsible for compliance with immigration laws through proper documentation from new hires within specified time limitations, and monitoring compliance by out of state locations.  Ensures E-Verify is completed and I-9 records are accurate.

Utilizing letter templates, creates memos for signature and/or confirmation for all personnel actions (compensation, position, and supervisor updates), during the employee lifecycle.

Answers or redirects frequently asked questions from employees relative to standard policies, hiring processes, etc.; referring  more complex questions to appropriate HRBP or HR management.

Manage the administration and execution of the performance management process.  Responsible for maintaining the database, accuracy, and reporting using an Electronic Performance Management system including data entry into the system and conducting routine audits to ensure the integrity of the data. Collaborate with internal software engineers to fix bugs and make changes to improve system functionality

HR Support to SVP, HR focus (15%)  Gathering data from internal HR teams and prepares consolidated monthly and quarterly reports, drafting monthly newsletter, and scheduling monthly/quarterly HR meetings and other ad hoc projects requested by the SVP, HR.

The Human Resources Coordinator role requires a high level of accuracy, timeliness, and proactivity with a predisposition for solving problems and figuring out the best way to do things, with the goal of ensuring the Human Resources department is compliant with employment laws and regulations.    

Knowledge, Skills and Abilities:

  • Excellent verbal and written communication skills.
  • Strong customer service orientation with the ability to work effectively in a team environment
  • Ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Self-starter with a positive outlook and motivated attitude.
  • Proficient with or the ability to quickly learn human resource information system (HRIS), and similar computer applications. (Experience with ADP WorkforceNow and SAP preferred)
  • Proficient with Microsoft Office Suite, (Excel, Word, Outlook, PowerPoint, and Teams)
  • Strong organizational skills with the ability to handle multiple projects simultaneously while maintaining attention to detail
  • Ability to work effectively, efficiently and strive for continuous improvement
  • Interpersonal perceptiveness
  • Ability to work effectively in a team environment
  • Ability to make decisions or solve a problem by using logic to identify key facts, explore alternatives, and propose appropriate solutions.

Education:

  • High School Diploma required. College degree preferred. 

Experience: 

  • 1-2 years of office experience, with at least 2 years in human resources/payroll desired
