POSITION SUMMARY:
The Scheduler/Unit Clerk provides maintenance of the clinical records of the Seniors/residents/clients (hereinafter, “Seniors/clients”) and supports the nursing staff by performing clerical and receptionist duties on the nursing units. This TEAMember embraces all components of the job, fostering an environment that allows Tabitha to provide optimum care to Tabitha’s Seniors/clients. In addition, the TEAMember contributes to the success of Tabitha through ongoing collaboration with TEAMembers, management, volunteers and others in the organization.
ESSENTIAL FUNCTIONS:
- Maintains the active clinical record for inpatient program by printing, filing, thinning, or replacing chart forms as needed.
- Creates hard copy chart upon admissions, and dismantles record after discharge.
- Assists with necessary paperwork or data entry to facilitate Senior/client admissions, transfers, and discharges.
- Schedules appointments for Seniors/clients makes arrangements with family if appropriate, and schedules van transportation when needed.
- Coordinates to schedule new TEAMember orientation, compliance training and meetings.
- Analyzes staffing patterns and communicates staffing needs to the DON/Administrator.
- If a Scheduler/Unit Clerk at Tabitha at Prairie Commons:
- Provides scheduling for living community nursing departments utilizing the scheduling software to efficiently schedule nursing departments
- Creates, approves and maintains schedules and on call calendars in scheduling software for living community nursing departments.
- Handles administrative tasks for the department including monitoring productivity and filed shift ratios.

Qualifications
COMMUNICATION: Must be able to speak, read, write, and understand the English language as well as terminology and jargon specific to the job. Sufficient fluency to be able to understand and follow written and verbal instructions, provide instructions to others, read and understand policies, procedures or other similar documentation, interact successfully with Seniors/clients/caregivers, hold a conversation, conduct or participate in meetings, compose professional e-mails or other written communication, prepare legible, accurate and thorough documentation as required by the job and effectively interact with coworkers, customers, vendors, volunteers, managers and family members. Ability to recognize and interpret non-verbal cues. Ability to respond calmly and clearly to emergencies and emotional situations.
PHYSICAL REQUIREMENTS: Ability to gain access to the work area and then safely perform the duties of the job while utilizing standard and specialized equipment, including but not limited to the equipment described below. Ability to move about the work area. Ability to do sedentary work at a computer for hours at a time. Must have the ability to spot errors or to sense when data output contains an error. Vision and hearing within normal limits (with or without correction) Must have unrestricted lift/push/pull ability and pass a 25 - pound physical exam demonstrating strength and agility prior to employment and from time to time thereafter at Tabitha’s discretion.
AGE REQUIREMENT: At least age 18.
EDUCATION: High School Diploma or equivalent required. Post high school education in medical record technology or a related health care field preferred.
EXPERIENCE: Medical record experience in a long term care facility, hospital, or medical clinical preferred.
CREDENTIALS: CNA Certification in good standing as demonstrated by inclusion on the Nebraska State Registry and CPR required for Tabitha in Crete and Tabitha at Prairie Commons. Preferred but not required at Tabitha at Williamsburg. Valid Nebraska Driver’s license (unless otherwise allowed by law) and a good driving record required. Must possess auto insurance at or above Nebraska statutory requirements. Must meet Tabitha’s Vaccination Requirements.
