Position Title: Conference Coordinator
Department: Program Development
Reports To: Senior Supervisor, Training
POSITION SUMMARY
The Conference Coordinator will lead the event management process for TTCs upcoming community conferences and workshops and perform other tasks as assigned by Training Supervisor. Travel may be required. HOURS 8 per day/5 days per week.
CATEGORIES OF DUTIES
Core Functions:
1. Leads agency efforts in hosting and sponsoring conferences, events, seminars, and workshops specific to agency interests and areas of expertise.
2. When applicable, coordinates the work of planning committee members, including scheduling meetings, preparing agenda and minutes, sending meeting invite and following up with the action items.
3. Able to initiate, plan and execute existing and new events involving audiences from various professional backgrounds and age groups.
4. Ability to maintain and expand the network needed to create a multi-day, state/national level event.
5. Answers calls for conferences and monitors the email accounts. In rotation with other staff, provide phone coverage.
6. Closely work with Training Manager (Admin) to maintain up-to-date files and inventory for conferences: conference history, vendors, speakers, future site information, conference registration supplies, and signage.
7. Prepares and disseminates conference reports as requested.
8. Works with the agency social media committee to promote scheduled events.
9. Monitors website content and provides updates to communications team as needed.
10.Manages conference volunteers - pre-conference and on-site.
11.Requests and processes bids from caterers, vendors, and other suppliers.
12.Assists Training Manager (Admin) with online registration, onsite management of registration desk and general support as needed.
13.Assists Training Manager (Admin) in development of revenue report, registration fee collection and reimbursement, speaker remunerations and other financial transactions.
Additional Functions:
1. Networking at the local, state, and federal level to develop contacts and collaborations that further expand scope of conferences and workshops.
2. Develops systems to streamline, manage, monitor responsibilities, and evaluate overall functions of conference and workshops.
3. Assists with TTC College workshops, Professional Psych Seminars and other company sponsored events (i.e.: fundraising), as necessary.
4. Attends agency wide committee meetings as indicated.
5. Attends, as necessary, in-services, educational and capacity building training.
6. Other duties as indicated or assigned by Training Manager/Supervisor.
EDUCATION/TRAINING/EXPERIENCE
Bachelors degree in Health Administration/ health related field or Business Administration.
A minimum of 1 years related experience to include administrative support, event/conference management, or equivalent combination of education and/or work experience.
Candidate must have superb written and oral communication skills; must have ability to assess the need for program growth.
Excellent knowledge of event management software, MS Office and social media tools and their applications.
