Here's a summary of responsibilities:

The United States Olympic & Paralympic Committee (USOPC) is a nonprofit organization. It is one of the only National Olympic/Paralympic Committees in the world that does not receive government funding for its Olympic & Paralympic programs, instead relying on the generous support of a committed community of sponsors and donors. Increasing philanthropic support for U.S. athletes is one of the USOPC's highest strategic priorities. Hence, the organization has established the U.S. Olympic and Paralympic Foundation (USOPF) as the fundraising organization for the USOPC and is investing significant resources in its Development division. 

The Coordinator, Foundation Operations, is a business services resource with a fundamental understanding of fundraising processes, providing office support for the Development division. The Coordinator works across the Foundation Operations team to create processes and procedures efficiencies while supporting giving and operations initiatives. Often a first point of contact for USOPC donors and prospects, the Coordinator is expected to professionally represent the USOPC, USOPF, and the division, work collaboratively, and handle multiple tasks proactively, efficiently, and accurately.

Here's how you'll have an impact:

  • Assist key division staff by providing systems support. Support the management of travel arrangements and maintaining and submitting expense reports for key personnel in the Development division. For remaining staff in the division, serve as an expert on development-specific systems, maintain process documentation and best practices, lead new and continuous training, and communicate important updates/changes.
  • Collaborate with Foundation Operations peers to maintain operations for the department. Collaborate with team members across the Development division, including assisting in process planning, project tracking and execution, adherence to deadlines, and cross-departmental communication—team with peers to maintain balanced workloads and office coverage.
  • Serve as a division resource for Salesforce record updates. Serve as a resource to the division for Salesforce data entry and monitor Quality Assurance reports for accuracy. Always ensure Salesforce data quality by following best practices and supporting routine data quality tasks.
  • Support appropriate tracking and handling of gift agreements, donations, and gift receipts throughout the entire gift cycle from initial gift intention, scheduled payments, and receipting. Serve as backup for gift processing, utilizing our donor management system to accurately record and acknowledge gifts promptly.
  • Engage peers to plan for satellite employee visits, division functions, and staff training; coordinate meeting and presentation setup/breakdown, including food and beverage, group lodging and transportation, scheduling/agendas, and A/V needs. Assist division event services team with preparations for donor and prospect special events or activities as requested.
  • With guidance and support from Foundation Operations leadership, create, streamline, and follow division procedures and best practices.
  • Create, maintain, and foster excellent working relationships with key partners in USOPF and within the USOPC (E&L, Finance, etc.).
  • Draft, edit, proof, and send error-free written or electronic correspondence and other materials. Communicate with and disseminate information to colleagues and key constituents courteously and professionally, understanding that much of this information is highly confidential.
  • Maintain appropriate office records according to document retention policy; partner with colleagues to manage materials consistently and update processes as needed.
  • Proactively address office-related challenges and collaborate with team members to find effective solutions.
  • Communicate with and disseminate information to colleagues and key constituents courteously and professionally, understanding that much of this information is highly confidential

Here are the skills and experience you'll need to be effective:

  • Associate's degree or equivalent work experience
  • 2 years of experience office operations experience or administrative support to high-level leadership
  • Experience providing excellent customer service to stakeholders
  • Creative, energetic self-starter who takes the initiative to learn and share new techniques to improve office efficiencies
  • Excellent oral and written communication skills and a high aptitude for technology and database systems
  • Highly proficient in Microsoft Office products, including Outlook, Excel, Word, and PowerPoint
  • Must possess strong interpersonal skills, flexibility, and ability to collaborate effectively with all constituent groups, including peers, executives, donors, athletes, and volunteers, and with a variety of working styles
  • Meticulous attention to detail and accuracy
  • Excellent problem-solving capabilities
  • Ability to maintain composure, discretion, and absolute confidentiality
  • Proven ability to independently take appropriate action and make sound decisions within scope of authority
  • Ability to handle non-routine matters and special projects with either minimum or specific instruction
  • An appreciation for the Olympic & Paralympic Movements and the power of sport is required

  • 1 years of experience working with database systems – Salesforce preferred.

Here's where you'll work:

  • This is a hybrid role that will regularly work from both our Colorado Springs Headquarters and remotely.

Here's some more information you need to know:

  • Hiring Pay Range: $22.14 - $26.02 per hour
  • This full-time, non-exempt position is intended to work 40 hours per week.
  • Bonus: This position will be eligible for the Annual Incentive Award Program at a 5% target. This program is subject to change or elimination by the USOPC at any time at its sole discretion.
