Job Description
Job Summary:
Handles all aspects of accurately receiving incoming merchandise and, also, accurately shipping outbound merchandise. All activities associated with receiving inbound shipments, preparing outbound shipments, and maintaining accurate inventory counts.
Detailed Description:
Receive incoming shipments according to established procedures to include:
- Verify correctness of delivery to include part ID accuracy and count accuracy.
- Verify delivery information against purchase orders, bills of lading, invoices and/or other records
- Communicate shortages, overages, damaged goods and other discrepancies to the Purchasing Dept.
- Mark all items intended for stock with appropriate part numbers and quantities.
- Collect and file SDS sheets for incoming Hazardous Materials
- Upon completion of receiving items in SAP, deliver and place items in their appropriate location.
- Identify and record stated country of origin of all incoming items.
- Receive incoming repairs and deliver to Customer Service
- For items being imported, communicate with Customs Border Control when necessary
- Communicate and Coordinate with various Freight Forwarders/Carriers regarding missing documents and/or country of origin information.
- Distribute incoming mail to appropriate person(s).
- Maintain established filing system of all receiving documents.
- Package shipments (per procedure) for outbound deliveries.
- Closely examine shipping requirements for each order. Ex: Carrier, Overnight, Ground/Air,
- Schedule B# and ECCN # for exports, marking/labeling requirements, special instructions etc.
- Use appropriate Hazardous Materials marking/labeling instructions
- Generate Commercial Invoices with appropriate information via UPS, FedEx and DHL software.
- Schedule Pick-Ups
- Communicate and Coordinate with various Freight Forwarders/Carriers. Provide appropriate documentation for exports.
- As needed, provide shipping cost information to Sales
- As required, file exports with the AES (Automated Export System) and process Commercial Invoice with ITN #.
- Process shipments via SAP software.
- Maintain open communication with Sales Coordinators to resolve various issues pertaining to shipments
- When necessary, drop deliveries off at the UPS or Fed Ex hub.
- Perform daily cycle counts in stock room
- Daily housekeeping of work areas
- Receive telephone calls and provide information relating to receiving and shipping activities.
- Monitor e-mail for communications requiring immediate response
- Screen visitors against “denied party” listing.
- Perform various duties relating to general building maintenance
- Pull kits in stockroom as required
- Inspect fire extinguishers as required
- Lift up to 100 lbs.
- Operate pallet jacks
- Maintain inventories of shipping supplies
- Other duties as assigned
Requirements:
- High School Education or equivalent w/ 2-3 years related job experience Current Hazardous Materials Certification 49CFR required at time of employment or within 90 days of employment.
- Possession of a valid driver’s license
- Must be detail oriented

- Self-starter, possess high degree of self-motivation
- Reliable and on time attendance
- Comply with all DOT (Dept. of Transportation) and EAR (Export Administration) regulations.
- Familiarity with AES (Automated Export System) preferred
- Stay current with US Postal regulations both domestic and international.
- Understand and follow oral and written directions
- Work independently with minimal direction.
- Operate a personal computer and peripheral equipment, using modern software.
- Follow good safety principles and practices.
- Principles and procedures of shipping and receiving operations.
- Methods and techniques of inventory maintenance.
- Methods and techniques of storing equipment, materials and supplies.
- Principles and procedures of record keeping.
- Office procedures, methods or materials and equipment including computers.
- Basic mathematical principles.
- HAZMAT procedures.
- Knowledge of International shipping procedures such as Commercial Invoice,
- Manufacture’s Affidavit, Shipper’s Letter of Instruction, ECCN, Schedule B,
