Job Description Texas State Technical College strives for all students to complete their programs of study and to be placed into great paying jobs. The Enrollment Coach position is crucial in assisting students throughout their program and providing support from the admissions process through graduation in the Enrollment Centers. The Enrollment Center combines traditional offices such as admissions, advisement, financial aid, and records into a one stop shop model. This position provides front line services to a defined caseload of students and is able to assist in non-routine situations that require problem solving skills. As an Enrollment Management team member, this position will seek knowledge of and pledges to actively engage in a Culture of Caring striving to respond systematically to student needs and remove barriers that may prevent students from achieving their personal and professional goals. The effectiveness of this position will be determined through lead measures and goals focused on persistence and graduation which contribute to enrollment goals for the Enrollment Management division and college as a whole. This position reports to the assigned leader at their campus and is responsible for upholding the policies and practices consistent with the College mission and values of excellence, accountability, service and integrity. Essential Functions Employee will demonstrate TSTC Core values of Excellence, Accountability, Service and Integrity with internal and external stakeholders, customers, students and members of the community. This position will contribute to the college’s outreach efforts by assisting individuals who have applied to TSTC become a student, assisting Dual Enrollment students matriculate to the College to persist and actively work with stop out students to return and finish their degree. Types of duties include but are not limited to: Provide detailed information to all students regarding Texas State Technical College’s technical programs including the application process, financial aid programs, eligibility requirements, and assistance with registration. Will also work closely with Veterans Services and Retention Services to support students in beginning their journey. Ability to manage a defined set of applicants for specific majors and track progress through the enrollment process. This includes managing communication tracks and effectively communicating through the beginning of the term for which the individual applied. Provide academic and technical guidance (using both holistic and intrusive advising techniques) for existing students based on thorough analysis of cognitive and non-cognitive factors. Assist applicants with academic advising, course registration, and degree planning through teaching them how to utilize available technology. Perform general admission/financial aid related tasks including tracking and follow-up to secure missing documents of all new, current, stop-out and dual enrolled students to ensure status is accurate including quality control of such documents. Evaluate test scores and transcripts for Texas Success Initiative (TSI) compliance to determine developmental course placement. Develop, implement, maintain and evaluate a system to increase the enrollment of all students, including dual enrollment graduates and stop out students. This position will contribute to student retention and completion strategies within the assigned caseload. Types of duties include but are not limited to: Assist students with academic advising and course registration, degree planning, financial aid processes and procedures and provide referrals to other student resources utilizing technology when possible. Collaborate with the faculty and student learning partners throughout the student’s enrollment to ensure all courses a student takes are in the student’s degree plan and that the student is advancing towards graduation at an appropriate pace. This includes utilizing the College’s Early Alert system and keeping detailed and appropriate advising notes regarding student progression updates. Solve issues related to student success, review student educational plans, degree audits, petitions, and graduation requirements. Assist students with identifying college resources that will be able to assist them in being successful by implementing the Culture of Caring. Track and support all students in the progression of the program leading to successful completion of their program and graduation. If needed coordinate a return plan including on going to contact to assure the student finishes their degree. This position will assist students with financial aid and veteran benefit information. Types of duties include but are not limited to: Provide financial aid information to applicants and current students regarding the application process, needs determination, verification, and status of their financial aid application in accordance with all applicable laws, regulations, and policies. Work with the Financial Aid Processing Center to resolve information discrepancies with financial aid applications. Troubleshoot student accounts to ensure funds are received including following up with applicants regarding any missing documents, program changes, or enrollment delays. Assist students with various questions regarding their accounts including but not limited to payments, holds, and refunds. Work collaboratively with the Veteran Services Department to ensure service members, veterans and their dependents receive educational benefit information that will contribute to an applicant’s and student’s success. This position will foster communication. Types of duties include but are not limited to: Respond in a timely manner to all student inquiries received via email, text and phone systems; Collaborate with faculty and staff to respond to general student inquiries through a variety of communication methods, including in-person inquiry, telephone, email contacts and other communication modalities. Communicate to students in a clear and concise manner, update comments and document all conversations in the appropriate area using assigned customer relationship management tools. Possess a thorough understanding of college policies, procedures, requirements, and effectively communicate them to students. Coordinate events and execution of presentations. Coordinate graduation efforts to include the events prior to graduation, outreach, ceremony, diploma requests, and post graduation requirements. Other duties as assigned Education/Experience/Knowledge/Skills Associates degree, exceptional background may be used in lieu of educational requirements. Bachelor’s preferred. One to three years of customer service experience. Experience in sales, recruiting, admissions, records, financial aid, outreach or a related field preferred Thorough knowledge of sales and advising techniques. In depth knowledge of multiple majors will be required for success in this position. Thorough knowledge of college policies, procedures, and requirements. Skills in judgment and decision-making, problem solving. Ability to multitask. Abilities in problem identification, reasoning, ability to develop original ideas to solve problems. Knowledge of the applicable federal and state regulations governing areas related to the responsibilities of the position including the Federal Educational Rights and Privacy Act (FERPA) and ability to maintain strict confidentiality at all times. Ability to relate to individuals and groups of students using communication, counseling, and problem-solving skills. Skill in working independently and following through on assignments with minimal direction. Demonstrated ability to work effectively in a service environment that is subject to frequent interruptions and skill in setting priorities that accurately reflect the relative importance of job responsibilities. Demonstrated computer proficiency using Microsoft Office (Word, Excel, etc.) or equivalent software, the internet, email messaging, and web-based software applications and experience using on-line student information systems. Advanced computer knowledge with the ability to understand and learn new on-line programs. Ability to effectively, professionally, and tactfully interact and communicate, both orally and in writing with students, faculty, staff, and visitors. Skill in independently composing letters, memos, reports, and written communication materials using correct spelling, grammar, punctuation, composition, text editing, and proofreading skills. Skill in accurate record keeping with strict attention to detail. Skill in organizing tasks, documents and materials with efficiency and accuracy. Must possess a valid Texas Driver’s license and be insurable by the State of Texas. Appropriate background check. This position may occasionally require 10% or more availability to work beyond regular hours of operation and/or weekends. This position will require a 5% or greater out-of-town travel that could extend overnight(s). This position will serve as a Campus Security Authority.
