Role and Responsibilities
- Manage the online dashboard for all enrollment needs including online systems for registration, enrollment, and re-enrollment (OnBoard)
- Work with the Database Manager to coordinate information systems that support the school’s admissions and enrollment processes
- Manage and maintain, using a high level of confidentiality, all incoming admissions files, including but not limited to student transcripts, letters of recommendation, testing information, and writing samples
- Populate and provide enrollment data reports for administration as needed
- Support the admissions process, including the preparation and distribution of promotional materials, and processing correspondence
- Provide day-to-day administrative assistance to the Office of Admissions, including calendar maintenance and meeting organization; provide administrative support to the Executive Director of Community Relations and Manager of Auxiliary Programs as needed
- Work with the Admissions Coordinator on logistics for admissions meeting spaces, information sessions, family visits, and student shadow days
- Provide administrative support for meetings, events, and other activities
- Assist the Admissions Coordinator with calendars as needed
- Provide Spanish-based campus tours, information sessions, communications, and outreach as needed
- Occasionally provide backup reception and office coverage, including answering phones, and greeting visitors, students, parents and staff in the absence of the Receptionist/Office Assistant
- Serve as a member of the admissions committee, read student files, and conduct family meetings when needed
- Prepare materials/files for the selection committee and record admissions decisions during the selection committee process
- Perform other duties in support of the School mission as determined by the Director of Admissions and Executive Director of Community Relations
Skills, Qualifications, and Attributes
- Spanish language proficiency required
- Experience in a challenging, fast-paced work environment that requires versatility, adaptability, and resourcefulness
- Experience as an executive assistant or project coordinator responsible for executing a variety of administrative processes such as creating and maintaining databases and electronic filing systems, managing calendars, etc.
- Ability to protect and handle student records and other highly confidential information
- Proficiency with Microsoft Office suite, Google Docs, data management systems (Blackbaud, UnitySuite, etc.)
- Ability to prioritize and manage multiple responsibilities and deliver work on time, with careful attention to detail, accuracy and work in a self-directed manner
- Capacity to juggle mundane and complex tasks
- Excellent judgment and discretion in responding to urgent, confidential matters
- Strong communication and interpersonal skills
- Ability to positively represent the school in all settings and circumstances
- A founding spirit that embraces new challenges
- College degree preferred
Physical Requirements
- Job frequently requires standing, walking, handling objects with hands.
- Job occasionally requires reaching, climbing, stooping, kneeling, pushing, pulling, and lifting up to 25 pounds.
