Job Summary:
The Occupancy Specialist will support the property by processing all resident certifications and recertifications and perform all aspects of the rental cycle.
Supervisory Responsibilities:
No supervisory responsibilities.
Duties/Responsibilities:
Assist with preparation for MOR’s and REAC’s.
Prepare resident file copies for review.
Process all AR’s, IR’s, and IC certifications.
Perform all aspects of the rental cycle from applicant qualifications through occupancy and move out, in accordance with HUD 4350.3 and other HUD requirements as well as Company directives.
Assist with resident move-in and move-out inspections.
Maintain the third-party verification process for annual recertifications.
Maintain the reminder system for annual recertifications and semi-annual unit inspections.
Maintain complete, accurate, and up to date resident hard-copy and electronic files.
Cooperate, but do not interfere, with activities of resident organizations.
Assist in rental application intake and screening procedures as requested.
After initial screening of new residents, assist in processing the file for a move-in approval.
Prepare applications and leases for submission to the Home Office for approval/denial and lease signing.
Maintain general office files in an efficient and orderly fashion.
Assist with the property newsletter.
Process incoming mail and prepare outgoing mail. Pick up/deliver mail at post office if instructed.
Act as key operator for office equipment.
Maintain materials and supplies inventory, ordering as approved.
Performs other related duties as assigned.
Required Skills/Abilities:
Excellent organizational skills and attention to detail.
Excellent sales, customer service, and interpersonal skills.
Excellent verbal and written communication skills.
Ability to prioritize tasks.
Proficient with Microsoft Office Suite, OneSite, and other related software.
Education and Experience:
Requires high school diploma or equivalent.
At least one year of property management experience preferred.
Certified Occupancy Specialist designation preferred, or ability to obtain within 6 months.
Physical Requirements:
Prolonged periods sitting at a desk and working on a computer.
