Job Posting for Conference Services Manager at The Boar's Head Resort
Coordinate event and guest room details as described in sales and catering contracts generated from the Group Sales department. Responsible for guest room cut off dates and management of group booking. Responsible for increasing revenue through upselling Food and Beverage and ancillary options throughout the resort. As needed to assist the Director of Sales and Marketing (DOSM) in the coordination of the development and accomplishment of conference, catering and banquet productivity, guest satisfaction and revenue goals.
Essential job functions include:
Manages and monitors BEO accuracy and production
Works with banquet and catering staff to maximize revenue
Works with DOSM to determine improvement needs for department productivity
Manages a smooth flow of information from Sales & Catering to Food & Beverage Department
Manage and run resume and BEO meetings, keeps track of calendar invitations
Management of high-profile groups and is prepared to meet personally with all groups upon arrival
Maintain close contact with clients to determine set-ups, number of people attending events, type of facilities required, meal arrangements, times and any special needs.
Contact clients to sell special amenities and/or extras to enhance meetings.
Work closely with all departments to ensure smooth delivery of all services.
Develop alternative approaches when interacting with clients to meet their demands while staying within property profit guidelines.
Follow-up with all clients on an as-needed basis.
Keep up-to-date on food and service industry trends.
Review all group billings before submitting them for processing.
Continually look for new and better ways to service groups and internal departments.
Practice excellent written and oral communication skills with all clients.
Banquet event orders for weekly packet are done in a timely manner so that packet it is sent out on time to all operational units.
As needed, represent the DOSM at weekly banquet event order meetings.
Handle special projects or assignments as required by the DOSM.
Maintain accurate business files.
Meet with clients and provide walking tours of the property.
Accurately enter and manipulate computer based data using a variety of software (i.e. Microsoft Word, Excel and Delphi.)
Provide excellent customer service to clients according to 4 Diamond Service Expectations.
