Job Title: Medical Support Technician Floater
General Description:
This position is located and obtained within the Chickasaw Nation Department of Health. The purpose of this position is to identify third party resource benefits, perform registration according to Chickasaw Nation eligibility guidelines by direct interaction with the Native American patient population. This position may require scheduled duty on days, evenings, weekends, holidays and call backs. This facility provides professional clinical health care services to Native American Beneficiaries. The Medical Support Technician provides front desk support and prepares the appropriate documents for the professional staff needed for the visit. Routine work is performed independently following written procedures, standards and protocols. Position requires critical thinking and independent decision making. Work is reviewed for quality and adherence to policy by supervisor.
Supervision Received: Incumbent is under the direct supervision of the Chickasaw Nation Department of Health Registration Manager and/or the Assistant Managers.

Supervision Essential Job Functions:
- 1. Interviews and determines the eligibility of patients seeking health care, who have not previously been treated at the facility. Obtain demographic and insurance information as well as the Proof of Enrollment/Eligibility (POE/POEE) of a federally recognized tribe to the Indian Health Services and the Chickasaw Nation eligibility policy. Online verification of Chickasaw enrollment is required.
- 2. Collects third party recipient health cards for medical, vision, dental , pharmacy, and obtains appropriate authorization signatures to enable the Chickasaw Nation Medical Center Business Office to bill for health care services provided from all alternate resources.
- 3. Explains the program to beneficiaries, i.e. why Medicare, Medicaid and or Private insurance will be billed for the services they receive within the CNDH and that the patient has no obligation for payment. Communicates the advantage of our health system billing the patients insurance from the patient standpoint as well as the facility standpoint.
- 4. Verifies eligibility of third party resources per department policy.
- 5. Utilizes Vista Imaging Software for required scanning of documents. Quality assurance by MST is required and accuracy rate standard at 98%. All scanned documents are collected by Supervisor for compliance monitoring.
- 6. Is responsible for properly reactivating a retired/archived record.
- 7. Schedules new patient, referral and follow-up appointments, handles all cancellations as necessary for the clinic as well as any letters to communicate appointment reminders.
- 8. If applicable provides a Routing slip as well as a Medication Reconciliation List to the patient upon their check in for review with their nurse.
- 9. Ability to maintain the confidentiality of patent information and records per HIPAA guidelines.
- 10. Serves in the capacity of a receptionist by greeting patients with a smile, courtesy and in a professional and prompt manner prior to obtaining all the information and documents required. Treats all customers with respect and maintains a cooperative attitude with other employees to facilitate quality patient care. Demonstrates a positive attitude and professional manner as well as appropriate problem solving and communication skills.
- 11. Handles all incoming telephone calls to the clinic for all providers. Responsible for answering the phone, transferring calls, taking messages and screening calls as necessary for clinic providers and nursing.
- 12. Establishes a visit in EHR for provider and clinical staff through the check in process.
- 13. Uses a basic knowledge of medical, diagnostic scheduling and terminology for the registration process.
- 14. Reviews and corrects as necessary RPMS monthly error reports with a Supervisor. These reports reflect any and all registration type errors that may have occurred.
- 15. Flexibility in cross-training for coverage from clinic to clinic.
- 16. Maintains offices supplies, forms and equipment in levels sufficient for optimal office functions.
- 17. Assists in maintaining a friendly, clean, safe and neat work environment.
- 18. Manages and operates office equipment in the area correctly and safely.
- 19. Exhibits prompt arrival to duty station, and is ready to work by designated time as well as follows Employee Code of Conduct Policy.
- 20. Demonstrates the ability to multi-task in a professional manner to both patients and peers under all circumstances all being a customer.
- 21. Participates in continuing education opportunities and staff meetings when provided.
- 22. Refers patients as appropriate for Medicaid and or Medicare eligibility to Patient Benefit Assistant.
- 23. Flexible in not knowing where they will be from day to day.
- 24. Ability to adjust to different clinic settings and processes.
- 25. Possibility of being called back to cover a shift outside their normal working hours.
- 26. When applicable generates text message appointment reminders and runs Alert Solution reports for cancellations.
- 27. Preforms pre-registration duties when applicable.
- 28. Performs other duties as assigned.
Minimum Qualifications
Knowledge, Skills, and Abilities:
Required - Dedication to provide exceptional customer service in all situations. Ability to communicate effectively with the public and peers for the purpose of giving or obtaining information. Knowledge of CNDH and Indian Health Services policies regarding eligibility for patient’s seeking health care as well as alternate resources available through federal, state and tribal programs. Prefer prior knowledge of RPMS patient registration, scheduling, electronic health records and Vista Imaging functionality. Requires knowledge in general office automation and basic medical terminology along with the ability to interview for the purpose of obtaining recent and accurate patient demographic information and insurance information for billing purposes. Must have a working knowledge of healthcare benefit identification cards, ability to verify eligibility and input data precisly for medical, dental, vision & pharmacy benefits. Ability to communicate effectively both orally and in writing. Must have typing proficiency of 30 words per minute (acceptable typing performance test results must be submitted with application indicating possession of the required minimum standard typing skill). Ability to remain professional in all circumstances, proficient with multi-tasking capability and the dedications to assuring their duties do not backlog clinic flow. Maintain strict confidentiality of all information received on the job..
Education:
GED Required - High school diploma or its equivalency.

Preferred Training (6 months - 3 years) - Experience should be in a fast paced work environment dealing directly with the patient. Three years minimum of health care registration and scheduling experience. One year of billing/health care registration and scheduling experience is preferred. Must possess a minimal understanding of Native American culture.
