The Deamer Group is excited to partner with The Clean Slate Initiative in a search for a dynamic, driven Executive Assistant to the VP, Programs & VP, Marketing & Communications!

The Clean Slate Initiative (CSI), established in 2019, aims to reform policies regarding record clearance, recognizing that one in three Americans faces limitations due to past records. CSI envisions a society where everyone has equal opportunities regardless of their past, advocating for fair employment, housing, family, and community involvement. They've successfully influenced policy changes in several states, benefiting over two million individuals, with a goal to clear records for 4.4 million people, including nearly one million Black individuals, by 2025. With a focus on collaboration and learning, CSI emphasizes the involvement of those directly impacted by the legal system, with 80% of the staff being impacted individuals and 56% being people of color. The organization is seeking an Executive Assistant dedicated to supporting the administrative needs of both the VP, Marketing and the VP, Programs while also contributing to project management and relationship support for the executive team, requiring a strong commitment to CSI's mission and experience in C-level support and project management.
What They Are Looking For
As an Executive Assistant at Clean Slate Initiative, you’ll report to the Executive Assistant to the CEO and provide administrative support to the VP, Marketing & VP, Programs. You’ll be an integral part of ensuring the teams stay on task, manage calendars and emails, and coordinate information in the organization’s project management systems. A highly organized, collaborative, fast-paced, and positive thinker will thrive in this environment!
Responsibilities & Day-to-Day Expectations
Serve as primary contact and support person for the VP, Marketing and the VP, Programs including:
Calendar management, correspondence, conducting research, managing travel itineraries, maintaining files, and event management.
Collaborating across the organization with team members as needed.
Utilizing project management system, Asana to input and track tasks and initiatives.
Utilizing Salesforce for managing contacts, campaigns support and events tracking.
Responsible for minutes taking notes, compiling, and distributing from meetings when needed and managing file sharing platforms.
Maintain and update official documents, calendars, project management software, and CRM.
Schedule and manage travel and logistics for in-person and virtual meetings.
Schedule and manage Google calendar invites, support meetings with internal and external stakeholders, prepare meeting materials, and follow up with participants.
Organize, prioritize, and handle emails, phone calls, and incoming mail and determine the level of priority and follow-up.
Collaborate and build relationships internally and externally, including communicating effectively with people at all levels of the organization.
Prepare and submit expense reports.
Support the adoption and integration of operational systems across the team.
Project manage key initiatives as identified by the VP, Programs and the VP, Marketing.
Provides event support for the VP’s speaking engagements, conference participation, etc.
May serve as backup support for the CEO when the Executive Assistant to the CEO is unavailable or on leave.
Required Qualifications
4 years of proven administrative experience supporting a senior-level executive.
Demonstrated attention to detail and accuracy, travel and calendar management, event planning and logistics, and handling phone calls.
Excellent written and oral communications skills.
Demonstrated ability to show discretion, utilize critical thinking skills, and have a sense of teamwork and community.
Ability to travel approximately 20-25% of time.
Preferred Qualifications
Experience in a nonprofit or mission-driven organization
Experience working with national organizations and funders
Personally impacted by the criminal justice system or knowledge of the criminal justice space

The Clean Slate Initiative is committed to transparent and fair compensation. The hiring range for this position is an annual salary range of $68,000 - $83,000 per year. The final salary within this range will be determined based on work location and relevant experience. Once an offer is made, we do not negotiate the compensation package.
This is a full-time position and is considered exempt for overtime purposes. It is preferred for this role to be stationed in the Orlando, FL office. We are open to discuss a hybrid or in-office work arrangement for candidates in proximity to our Orlando office. Candidates who are located outside of Orlando, FL are encouraged to apply. A remote work arrangement will be considered for candidates outside of Orlando, FL.
Be close to a major airport with the ability to travel approximately 20-25% of the time
Attend required quarterly onsite planning meetings in various locations
Attend at least 1 staff learning trip and our annual convening each year
