Summary: As a foundational component of the Human Resources team, the HR Specialist plays a critical role in the support of HR services to our clients. The HR Specialist will participate in all aspects of HR-related client work with a core focus on employee and agent onboarding, running reports, recruiting assistance, special projects, and direct client support. Additionally, The HR Specialist serves as a key client contact for low to moderately complex clients, for several critical human resources functions including HR consultation and compliance for clients, benefits support, talent management, general human resources administration, and training and other meeting facilitation. The HR Specialist will contribute to our success by showing a strong dedication to our mission, vision, values, clients and internal team members.

Responsibilities:

1. Provide accurate and up-to-date information to employees, clients, vendors and staff.

a. Respond to most HR questions posed by co-employees. Triage requests for more targeted information and forward the request to the appropriate person.

b. Research co-employee issues utilizing available resources and collaborate with other staff and/or management to determine best response to the issue.

c. Monitor HR e-mail inbox several times a day and forward questions and/or information to appropriate staff.

2. Accurately complete employee onboarding tasks to ensure employee, client and other TEG functions are supported properly.

a. Conduct new employee orientations at client sites or electronically.

b. Process all new-hire paperwork accurately and in a timely fashion.

c. Collect the required information needed by TEG to process new hires in a timely fashion to ensure deadlines (pay, benefits, etc.) are met.

d. Conduct e-Verify activity in the timeframe set forth by the US government.

3. Accurately complete agent onboarding and off-boarding tasks.

a. Communicate the positive aspects of the TEG-agent relationship to interested agents.

b. Process all new agent paperwork accurately and in a timely fashion.

c. Ensure management knows if any agent is planning to leave the TEG relationship.

d. Process all terminating agent paperwork and process accurately and in a timely fashion.

e. Follow established new client onboarding processes and procedures to ensure a smooth transition to TEG services when participating in new client onboarding activities.

f. Provide new clients with the appropriate training and tools on TEG co-employment services.

g. Take responsibility for understanding the individual client’s business and its corresponding HR needs.

h. Maintain continuous open communication with clients and internal staff regarding clients’ needs and expectations to ensure client satisfaction. Communicate progress on each project to the client and internal staff as needed.

i. Keep client management system up-to-date with client interactions, updated contact information, and correspondence.

j. Maintain general working knowledge of the employee benefits and other services offered by TEG by participating in cross-training and other learning opportunities.

k. Actions taken on behalf of TEG reflect and deliver upon TEG’s mission, vision and values.

4. Provide internal support to HR Consultants.

a.Assist HR Consultants with job posting, applicant tracking, and data collection of recruitment efforts.

b. Keep applicants informed of their application and the process when necessary.

c. Phone screen qualified applicants for a variety of positions within a set timeframe

d. Provide detailed phone screen summaries to clients for their recruitment needs.

e. Assist in developing interview questions and other selection tools.

f. Conduct background checks when required.

g. Intake and process employment verifications.

h. Process Unemployment Insurance (UI) claims by all applicable due dates and participate in UI hearings when required.

i. Assist with internal or external project work.

5. Effectively complete a variety of human resources activities.

a. Inform assigned clients of standard legal employment compliance and ensure they are meeting those requirements and applicable employment practices.

b. Maintain electronic and paper files records according to company procedures.

c. Create new client employee handbooks and revise current client employee handbooks on a regular basis and/or when required.

d. Assist in developing written policies, job descriptions, and other customized written employment materials for clients and for the company’s internal use.

e. Provide HR consultation to clients and employees on employment matters with guidance from management.

f. Stay current on TEG’s benefit programs and answer questions from clients and co-employees in a timely and effective fashion.

g. Ensure co-employee changes are forwarded to the appropriate internal HR team member and are processed within corresponding legal time requirements.

h. Resolve any payroll/benefits discrepancies by partnering with TEG payroll and benefits departments.

6. Other duties as assigned.

a. Actively participate in meetings, training and workgroups.

b. Provide blog drafts on schedule and/or as requested.

c. Keep client relationship management system (CRM) updated with client and employee activities.

d. Provide back-up support to other HR team members when requested and/or needed.

e. Other duties as assigned.

Minimum Knowledge, Skills, and Abilities:

- Associate’s degree in related field or commensurate experience

- One years of experience in an HR department or similar function

- Experience providing client support over the phone, in person and via email

- Basic knowledge of employment laws at the federal, state and local level

- Strong written and verbal communication skills; ability to adjust communication style appropriately to meet the needs of the customer

- Strong interpersonal skills

- Excellent attention to high volume of detail

- Excellent problem-solving skills

- Demonstrated computer and software skills; proficiency with Microsoft Office Suite and databases

- Ability to be customer-focused and quality-driven with strong customer service skills and focus

- Ability to exhibit integrity in work product and in interactions with clients and other staff

- Ability to manage multiple projects through successful completion within set timelines

- Ability to maintain confidentiality

- Ability to hold oneself accountable for actions, successes, and failures

- Ability to be flexible in the work environment and willing and able to adapt to changing organizational needs

- Ability to operate in an open, honest and forthright manner in order to build and maintain relationships with a diverse population

- Ability to work in a fast-paced environment with minimal supervision

- Willingness to gain knowledge and listen to others

- Ability to travel within Wisconsin and other states as necessary; must possess a valid Wisconsin driver’s license and proof of personal auto liability insurance meeting Wisconsin’s minimum requirement

Physical Requirements: Primarily sedentary work, exerting up to 25 lbs. of force occasionally or a negligible amount.

Physical Activity: Primary working position-sitting, with occasional standing, walking; frequent reaching, typing; talking - speaking clearly; hearing – conversation; and seeing - near

Work/Environmental: Moderate noise level consistent with an office environment. Travel within Wisconsin and other states as required for business meetings, education events, etc.

Personal/Physiological: Interaction with people, working around people, delegating work, and holding oneself and others accountable for meeting deadlines and finishing work, planning of activities, making judgments on a regular basis, frequent changes in duties and volume of work, intra-organizational and client communication
