What are the responsibilities and job description for the Patient Care Coordinator position at The Hearing Spa?
The Hearing Spa, a busy Audiology clinic located in Bradenton is seeking an experienced Patient Care Coordinator to add to our growing family owned practice. The Patient Care Coordinator assists administratively in the management of all aspects of the patient experience, serving as the liaison between the clinical staff and the patient. This role is the face of the office as you will be the first person to greet each patient whether that is in person or on the telephone. The ideal candidate is a highly organized team player that can successfully balance administrative responsibilities and exceptional patient care.
Responsibilities Include:
· Warmly greeting each patient and visitor that comes through the door.
· Check out patients at the end of their visit by setting up a future appointment.
· Answer multi-line telephone and arrange appointments for the Doctor/clinical staff.
· Being able to properly capture potential new patients, schedule/re-schedule appointments, and relay messages promptly to the appropriate staff.
· Managing incoming faxes and uploading to patient’s EMR.
· Respond to requests for medical records and obtain appropriate consents to do so in accordance with federal and state law.
· Maintain and update patients EMR and demographics regularly.
· Provide cross-coverage to team members as needed.
· Confirm all appointments for the next clinic day.
· Obtaining and entering patient’s insurance information, running eligibility, collecting co-payments at time of service (copy of insurance cards required).
· Obtain necessary consent form signatures, including HIPAA policy.
· Utilizing our scheduling system appropriately (Training provided)
· Sending and receiving orders for devices
· Ordering stock for the clinic as needed
· Maintaining multiple excel spreadsheets
· Other duties and special projects as assigned
· Light cleaning duties

Education & Experience:
· High School Diploma (Required), Bachelor’s Degree (Preferred)
· Front Desk: 2 years (Preferred)
· Customer Service: 2 years (Preferred)
· Administrative Duties: 2 years (Required)
· At least two consecutive years work experience as a Patient Care Coordinator/Healthcare Administration
· Insurance billing experience a plus
· Background check required
