Job Summary:
This position involves taking lodging reservations, coordinating transportation, gathering information about dinner and golf preferences, and interacting with members and guests. Responsibilities also include answering the main phone line, replying to emails, and maintain communication with all Club departments. Additionally, the role provides administrative support for the Reservations Manager.
Essential Functions:
· Gather transportation, guest house stay, dining, and golf information from members through calls and emails.
· Input gathered information into the software system.
· Arrange transportation to and from the airport for members and their guests.
· Provide daily and weekly summary reports for staff.
· Post daily and weekly dining sheets for staff.
· Answer emails, telephone calls, and take messages.
· Manage daily gate access and announce member arrivals.
· Filing and organizing administrative areas as needed.
Other Duties:
· Assist both golf professionals and accounting with execution of day to day operations with a high level of service.
· Support the Management of the outside service personnel.
· Assist in tournament operations.
· Perform other duties deemed by Management to be an integral part of the job.
Qualifications (required unless stated otherwise):
Skills/Knowledge:
· Ability to communicate in a professional manner and make the members and guests feel welcome.
Experience/Education:
· Minimum of 2 years’ experience in Club, hotel or hospitality management preferred.
· Proficiency in Windows-based software including Word and Excel required.
· Excellent communication and interpersonal skills.
· Ability to manage multiple tasks effectively with high attention for detail.
Preferred License(s):
· First Aid, CPR & AED certification
Work Environment, Equipment Used:
· Daily activities may include moving boxes which necessitates stooping, bending and moving heavy objects up to 50 pounds. Due to the fact that some of the work may take place outside, working conditions may include extreme heat, cold, rain, or other adverse conditions.
Projected Work Schedule:
Must be available for a varying part-time schedule to include days, evenings, weekends, and holidays as needed.
