PROFILE
As with other positions within this ministry, the Event Coordinator is known for their strong Christian character. PRIMARY FUNCTION
The Event Coordinator organizes, oversees, and executes engaging and successful fundraising events as part of an integrated resource development strategy under the supervision of the VP of Marketing and Development. This includes recruiting and managing staff, volunteers, and vendors needed for special events and strategically coordinating all media, advertising, mailing, and communication campaigns surrounding special events. The Event Coordinator introduces and maintains positive donor relationships as a part of Mentoring Alliance’s Marketing & Development team.
KEY RESULT AREAS
1. Minister of the Gospel: The Event Coordinator position is first and foremost considered to be a Minister of the Gospel. This position furthers Mentoring Alliance’s religious mission by:
- Exhibiting a passion for sharing Jesus and the gospel.
- Following Jesus Christ and witnessing and ministering for Him.
- Being able to explain the message of the gospel to kids and families of Mentoring Alliance.
- Being willing to counsel, shepherd, and disciple kids and families of Mentoring Alliance in a manner consistent with the Bible.
- Being willing and able to explain Mentoring Alliance’s beliefs and Statement of Faith in person or over the phone to kids and families of Mentoring Alliance.
- Being ready, willing, and able to lead or contribute to distinctly Christian activities (including, but not limited to, worship or staff chapel).
2. Special Events:
- Develops and manages event strategy and tracks marketing and fundraising effectiveness of special events.
- Leads staff and volunteers in soliciting sponsorships for all events — setting and exceeding goals.
- Leads staff, vendors, and volunteers in creative planning, design, execution, and delivery related to special events.
- Coordinates with vendors to create all event mailings, maintain accurate mailing lists, and prepare all sponsor invoices and thank-you letters.
- Leads staff and volunteers in planning fundraising events, such as Club Classic Golf Tournament, Day for Kids, the annual MA luncheon, and small home events.
- Keeps accurate registration information and budget summary of event income and expenses.
3. Community Awareness and Engagement:
- Expands prospective donor base through various sources, including event and board lists, research, and special events.
- Keeps updated and accurate constituent information in the database, including special event attendance, event sponsorships, and annual fund mailing lists.
- Introduces new donors to Mentoring Alliance through community relationships.
4. Other Duties as Assigned by the Vice President of Marketing and Development and/or President:
- Serves on appropriate committees; attends staff meetings, board meetings, and other staff functions.
- Strengthens teamwork, collaboration, alignment, morale, transparency, credibility, and trust throughout the ministry.
- Fulfills necessary tasks, projects, or roles as assigned.
EDUCATION AND EXPERIENCE:
- Bachelor’s Degree or experience equivalency in event coordination required; graduate degree preferred
- Minimum of 3 years of experience in fundraising for non-profit organizations preferred
- Minimum of 3 years of proven management and execution of engaging and effective special events required.
- Computer literacy and proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, etc.) required
- Experience with implementation of databases preferred
- Salesforce experience preferred
- Excellent written and verbal communication skills required
