Position Detail:
The Mission Inn Hotel and Spa is an iconic AAA Four Diamond award-winning hotel that has remained faithful to the grand style and ambiance enjoyed by its first guests. Position Overview:
The Human Resource Admin will perform administrative tasks and services to support effective and efficient operations of the organization’s human resource department. The HR Assistant will be contentious and professional and will always maintain confidentiality regarding all HR matters.
Duties and Responsibilities:
- Provides clerical and reception support to the HR department.
- Schedules meetings, or other appointments; signs employees in and out of training area.
- Performs regular data entry.
- Processes incoming or outgoing mail.
- Files documents into appropriate employee files.
- Prepares new-employee files.
- Maintains HR office supply inventory and places orders as needed, while being cost contentious.
- Maintains accurate and up-to-date human resource files, records, and documentation (paper and electronic filing).
- Maintains the integrity and confidentiality of human resource files and records.
- Conducts document archiving and maintains HR File-Room in compliance with document retention protocols.
- Performs regular audits of HR files and records to ensure that all required documents are collected and filed appropriately.
- May assist with light payroll actions such as answering employee questions and sorting & distributing checks.
- Answers frequently asked questions from employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
- Provides support as requested with planning and execution of special events such as benefits enrollment, meetings, employee recognition activities.
- Assists with set up of new hire orientation.
- Assists with maintenance of employee bulletin boards.
- Performs other duties as assigned.
- Consistently tracks and provides status reports on all activity under their scope of responsibility.
- Knowledge, Skills, and Abilities:
- Excellent verbal and written communication skills.
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
- Excellent organizational skills and attention to detail.
- Proficient with or the ability to quickly learn human resource information system (HRIS), and similar computer applications (ADP preferred).
- Ability to perform accurate data entry.
- Proficient with Microsoft Office Suite or related software (Word, Excel, PowerPoint).
- Ability to update or create documents in Word.
- Ability to navigate Excel workbooks utilizing basic commands, commonly used formulas.
- Ability to update or create presentations in PowerPoint.
Education and Experience:
· Associate degree in related field required.
· Minimum of 1-year HR/personnel related office experience required.
Physical Requirements:
· Prolonged periods of sitting at a desk and working on a computer.
· Ability to navigate property which includes uneven surfaces and stairs.
· Must be able to lift or move up to 30 pounds at times.
