The Orchards is hiring a Part Time Unit Secretary
The Unit Secretary provides administrative and clerical support to Health Information/ Skilled Nursing department and supports Admissions & Social Services Department as needed
Part-Time: 3 days a week , Monday, Thursday, and Friday 8:30am -5:00pm
$18.00-$19.00 per hour
PRINCIPLE DUTIES:
Nursing Administration Support:
- Schedules resident appointments and arranges transportation.
- Prepare paperwork to send with patients going to physician office or clinic visits.
- Prepares and prints CNA assignment and sign-in sheets.
- Programs devices in the Nurse Call system to page team members as needed to provide care.
- Schedules patient showers for new admissions and room changes.
- Maintains privacy and confidentiality of all resident related health information at nursing station.
- Prepares admissions records, charts and ID bands for newly admitted residents.
- Assists with discharge paperwork for discharging residents, as requested.
- Schedules ultrasounds, x-rays and labs as requested.
- Answers phone calls and exhibits excellent customer service and tact when dealing with physicians, residents, and families.
- Monitors fax machine for lab, pharmacy, or x-ray reports; and gives reports to licensed nursing staff
- Answers patient call bells and assists patients as needed and appropriate.
- Promotes resident rights.
Health Information Department Support:
- Monitors timeliness of physician admission and routine monthly visits as needed.
- Follow-up on patient medical record information to include but not limited to physician reports, test results, nursing documentation, etc.
- Process chart requests as needed.
- Assists the Health Information Director with tasks and audits as scheduled.
- Completes administrative support duties for the nurses station, including filing, stocking supplies, maintaining station lists. Maintains an organized nurses station.
Staffing and Scheduling:
- Maintain a current listing of employee contact numbers for call-in; develop work schedules at least one month in advance. Utilizes Social Schedules application effectively for the department, if applicable.
- Assists the DON in the management and maintenance of a centralized nursing staffing plan by coordinating the scheduling of nursing employees, utilizing input from the DON to identify staffing needs.
- Schedules nursing staff using developed staffing guidelines and utilizes worksheet to optimize staff utilization and minimize overtime. Communicates attendance, PTO, and leave requests to DON/DSD as needed. Utilizes Social Schedules application effectively for the department, if applicable.
- Prepares and distributes a daily schedule for nurses and CNAs and posts the NHPPD form daily and trains others on days off. Maintains complete file of daily schedules and NHPPD forms for 3 years.
- Notify DON or designee of short staffing situations, contact replacement personnel and modify schedule when required during shift. Utilizes Social Schedules application effectively for the department, if applicable.
- Maintains current nursing department staff roster with name, address, phone, availability and sends to DON monthly. Maintains Social Scheduling application current with new and existing employee information, if applicable.
QUALIFICATIONS:
- Previous experience in a skilled nursing facility as a unit secretary, preferred
- Knowledge of medical terminology
- Basic computer knowledge and typing/data entry skills
- Excellent written and oral communication skills
- Excellent customer service skills and telephone etiquette
- Must be able to concentrate with frequent interruptions
- Ability to function independently, with little direct supervision
- Must have the ability to organize, prioritize and meet deadlines, maintain accuracy and detail orientation.
- High school graduate, or equivalent
PHYSICAL REQUIREMENTS/WORKING CONDITIONS:
Must be able to sit at a desk for up to six hours per day; must be able to stoop, bend, stretch, and squat to access files and various documentation. Must be able to transport residents via wheelchair, pushing up to generally 200 /- lbs. Must be able to lift up to 35 lbs occasionally. When lifting over 35 lbs, you are required to ask for assistance. Occasionally push and/or pull wheeled carts and equipment generally weighing up to 200 lbs. May be exposed to communicable diseases including HIV and Hepatitis B viruses; industrial and household chemicals; offensive odors; and combative behavior.
CRITICAL FUNCTION:
- This position is essential to the safety of our residents and staff; and to the operation and function of the community. Employee may be recalled to report to work for an emergency, unusual occurrence, resident care need, visit from regulatory/governing agencies or any other event deemed necessary by the Executive Director, Administrator, and designee.
