The University of Virginia Darden School of Business, one of the world's leading business schools, seeks a professional Student Affairs Administrator to provide an elevated level of administrative support as a member of the Office of Student Affairs (OSA) team and executive support to the Senior Associate Dean for Student Engagement. The Administrator provides administrative support for the OSA including office operations, student club support, and manages expenditures and reimbursements as well as completing event planning and travel support tasks. This position supports three senior leaders, coordinating all facets of scheduling, calendar and supporting correspondence and engagement with many stakeholders, working with highly confidential information. Specific competencies include organizational skills, written and oral communication skills, demonstrated project management skills, and the ability to establish and maintain productive working relationships across a wide range of constituencies. This position is located in-person in Charlottesville, VA. Specific Duties and Responsibilities: General Administrative Support Provide advanced administrative coordination to support office operations and special projects. Coordinate meetings and appointments. Secure location, arrange catering as necessary and include support materials for meetings. Support student clubs with food ordering, sign and nametag creation and copying needs. Expense tracking and oversee student club purchase requests and student section budgets. Order supplies for office and student work room. Oversee student mailbox and student copy room areas. Make travel arrangements and process travel reimbursements. Event Management and Support Provide event coordination and day-of support for several student events throughout the year. Organize materials for special events and programs. Process monthly expenses for meals and other billable events for OSA and students. Executive Administrative Assistant Duties Provide administrative support for the Senior Associate Dean for Student Engagement, Senior Assistant Dean for Academic Affairs & Student Engagement and the Assistant Dean for Student Affairs & full-time MBA. Coordinate all facets of executive level meetings, maintaining the calendar and tracking and ensuring timely follow-up and agenda-setting for the Associate Dean. Manage correspondence and communication for the Associate Dean and Senior Assistant Dean. Responsible for business travel arrangements, all reimbursements and managing other transactions as requested. Darden Student Success Group (DSSG) Coordination Schedule weekly and cross-unit meetings. Attend and take notes. Schedule semester gatherings for all DSSG units and manages logistics related to these gatherings. Provide project support to Senior Associate Dean on other DSSG initiatives. Provide logistical support for the summer and winter retreats. Required Education and Experience: High school diploma required; Bachelor’s degree strongly preferred. 4 years of administrative/general office support experience required. Bachelor's degree may substitute for years of experience. Strong analytical skills to gather and report information. Excellent communication skills as the position requires frequent interaction with many individuals, internal and external, in a high-energy environment. Excellent organizational skills and ability to handle and prioritize multiple high-level projects simultaneously. High attention to detail and a positive attitude. Ability to work with sensitive and confidential information. Independence and sound judgment; must be a self-starter. Self-sufficiency, resourcefulness and ability to work well with minimal supervision. Ability to be articulate and possess a professional demeanor. Flexibility, creativity and ability to quickly shift direction without becoming overwhelmed. Ability to thrive in a high-energy, fast-paced environment.
