Job Purpose and Summary
The accounting assistant coordinates with various accounting team members to fulfill the accounting services provided to WMG’s clients, who are non-profit corporations formed as common-interest communities.
Essential Duties and Responsibilities
- Understand basic principles of accrual accounting;
- Process all accounts payable for clients, ensuring accuracy, verification of vendors (including completed W-9s and Certificates of Insurance), and timely processing of invoices;
- Process all 1099’s annually
- Provide a periodic report to the Vice President of Accounting and Finance as well as the President on the status of receipt of funds due to WMG by clients;
- Prepare and process invoices, when needed, for lots owned by builders;
- Prepare and process statements/invoices to Owners;
- Prepare statements of accounts, commonly referred to as “Status Letters,” requested from title companies that are preparing for closing in a client community;
- Receive closing documentation from title companies and set the new member up in Vantaca;
- Assist with the setup of a new community, including processes, settings, and owner information in Vantaca, financial binders, and files;
- Charge member accounts with various fees and process removal of late fees when requested by the manager;
- Assist with monthly bank reconciliations;
- Assist with the delinquency notice process;
- Cross-train and learn additional accounting team responsibilities to assist each other as needed;
- Other tasks, as assigned.
Knowledge, Skills, and Ability

- Can follow written and oral instructions and work with limited supervision;
- Proficient typing skills with a minimum of 40 words per minute;
- Skill in organizing resources by client, attention to detail, and establishing priorities;
- Ability to work independently with the flexibility to work on several projects concurrently;
- Ability to maintain a strict level of confidentiality;
- Use of proper spoken and written communication of the English language, including spelling, grammar, and punctuation;
- Possess a robust knowledge of operating a personal computer, the Microsoft Windows operating system, and Microsoft Office programs (namely: Word, Excel, and Outlook);
- Demonstrate proficiency with the fundamentals of accounting.
Education or Formal Training
- Minimum of a high school diploma or equivalent.
- Three years prior accounting experience

Work Environment
This position operates in a professional office setting and uses standard office equipment. Employees will be issued a company-owned laptop computer.
Work is performed indoors, in the office, 100% of the time.
The work environment's noise level is usually moderate, requiring the ability to focus with distractions present at times.

Nearly 100% of this position is performed while sitting. On occasion, duties of this position may require walking minimal distances of less than ½ mile, lifting items 15 to 20 pounds, and pushing items 40 pounds.
