JOB DESCRIPTION
JOB TITLE: Medical Assistant I (Receptionist/Front Desk) STATUS: Non-Exempt
REPORTS TO: Executive Director LOCATION: Spokane, WA
SCHEDULE: M-F, 8am - 5pm FT/PT: Full Time
BASE PAY: $18.00-$20.00/hour
JOB SUMMARY
If you are ready for a new challenge, Therapeutic Solutions is looking for a talented Medical Receptionist to staff our front desk operations. Reporting to the Executive Director, this position is the patient services coordinator, responsible for front office and administrative duties that support behavioral health providers and clinical programs.
DUTIES & RESPONSIBILITIES
- Serves as the initial company contact for potential, new and existing patients.
- Completes outlined protocols and procedures related to managing new and existing patients.
- Acts as a liaison for patients to coordinate direct care services and to reach support departments.
- Performs administrative duties as assigned by supervisor.
ESSENTIAL REQUIREMENTS
- Advanced knowledge of Microsoft products – i.e., Outlook, Word, Excel, Power Point
- At least one year of medical front office experience
- At least 1 year of EHR experience
- Typing – 45 words per minute
- Good verbal and written communication skills
- Excellent customer service skills
- Ability to read, write, and comprehend medical terminology.

PHYSICAL DEMANDS
- Length of time sitting could amount to 1/3 to 1/2 of shift.
- Length of time standing could amount to 1/3 to 1/2 of shift.
- Ability to hear and speak to clients on the telephone and in person.
COMPETENCY EVALUATION CRITERIA
Serves as the initial company contact for potential, new, and existing patients.
- Answering multiple phone lines in a professional, courteous manner.
- Greeting patients checking in for appointments and group sessions.
- Completing outlined protocols and procedures related to managing new and existing patients.
- Completing the new patient process in a timely manner (interface with patient, schedule appointment, send new patient packet and ensure patient completes and returns prior to appointment).
- Scheduling new and existing patients according to the provider’s needs and preferences and supporting providers as appropriate.
- Ensuring that all records are received from referral source prior to appointment.
- Processing patient referrals, forms, and other correspondence such as letters requested by the patient in a timely manner.
- Participating in the referral development process as needed.
Acts as a liaison for patients to coordinate care services and to reach support departments.
- Assist patients with questions regarding billing/insurance issues.
- Collects co-payments and self-pay payments from patients and posts to billing system.
- Coordinates with billing department for billing/insurance issues and problem resolution, as needed and required.
- Effectively communicate any patient information or updates to providers as needed.
- Demonstrates the ability to use Electronic Health Record an additional software programs to access patient information.
Performs Administrative duties, as assigned by supervisor.
- Office supply ordering, addressing copier and postage machine needs, mail receipt/distribution and fax receipt/distribution.
- Generating and sending daily report for reminder calls.
- Proactively calling all no-show appointments and cancellations to reschedule appointments.
- Collecting past due amounts, no show fees, co-payments, and self-pay payments from patients and posting to the billing system.
- Completing daily census.
- Maintaining and auditing patient charts for compliance and deficiencies.
