Our partner is looking for a Project Assistant in Phillipsburg, MO to provide mid-level administrative support for utility construction projects. The ideal candidate should have general administrative knowledge, attention to detail, and a strong work ethic.
Responsibilities:
- Track permits, perform data entry, and track materials for the Project operations team.
- Perform Level 1 Project Assistant duties, including requesting job numbers and reviewing payroll records.
- Provide mid-level support to Project Coordinators for Pre and Post project billing processes.
- Assist in collecting, tracking, analyzing, and reporting on various items within customer systems.
- Analyze invoices for approval and have a proficient understanding of AP system processes.
- Communicate directly with customers, vendors, and subcontractors in a professional manner.
- Act as a liaison for homeowners regarding claims and complaints.
- Create files within Google Earth and other Geospatial software.
- Track and submit permits to local municipalities.
- Create tasks within Penguin and determine project details and estimated footages.
- Perform general data entry of project progress and billing into the project tracking database.
- Conduct regular inventory and material tracking and generate required reports.
- Support multiple levels of leadership in person and remotely using various technology.
- Follow through with tasks and processes until completion with a high level of follow-through and follow-up.
- Perform other duties as requested by the supervisor.
- High School diploma or equivalent.
- 1-3 years of administrative, data tracking, or project support experience.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Strong relationship-building skills to influence desired outcomes.
