Description
The Medical Records Specialist is responsible for preparing medical forms and managing the incoming and outgoing records requests. Processing of medical records request will require strict observation of patient confidentiality rules and regulations which require strong attention to detail to ensure signed up to date releases are up to date prior to releasing information. The Medical Records Specialist will complete all necessary patient paperwork accurately and promptly. The Medical Records Specialist will cross train to conduct audits of patient case records for the purpose of identifying documentation errors as assigned.
Requirements
Schedule: Monday- Friday flexible work schedule- Hybrid option available as job tasks/duties allow
Essential Job Functions:
- Monitoring of Medical Records mailbox and email inbox for medical records requests
- Performs high volume scanning and uploading of patient records into the EHR System
- Processes patient record requests
- Determine validity of releases sent into organization
- Print and fax patient reports to referring doctors as needed
- Communicate with outside entities via telephone, email, fax, in addition to internal agency communication
- Development of appropriate records packets for medical records requests
- Pull supplemental records from systems (PSYCKES, HealtheConnections) to support clinical care
- Draft and distribute correspondence for providers
- Review both concurrently and retrospectively medical records and pertinent documentation in accordance with established site review tools and company policy
- Extracts, compiles, and reports on data from the electronic health records system
- Utilize MS Excel spreadsheets to track documentation workflow and provide status reports in the form of tables, charts, and graphs
- Upholds the standards of Credo’s Continuous Quality Assurance Program
- Participation in Continuous Quality Improvement Committee meetings, as assigned
- Maintaining documentation, correspondence, and communication to and from other providers regarding psychiatric, medical and substance abuse services
- Promotes individual professional growth and development by meeting requirements for mandatory/continuing education and skills competency
- Acts as back-up support to the Quality Improvement and EHR team(s)
- Will be required to perform other duties as assigned

Other Job Requirements: Must maintain a valid Drivers License, as specified in the personnel policies. Must maintain all laws and policies concerning corporate compliance, confidentiality, security, and client rights as specified in the employee manual, 42 CFR Part 2, and HIPAA. Must maintain current certification and/or training in areas specified by state law and agency regulation. Essential computer software skills for data collection and reporting. Excellent quantitative and analytical skills.
