JOB SUMMARY:

The Project Coordinator is responsible for ensuring the company's clients receive prompt and accurate project assistance with on-going and new IT projects. The role will report to the company's PMO. The duties of the role include but are not limited to assisting in the planning and overseeing of projects to ensure they are completed in a timely fashion and within budget, assisting in designating project resources, preparing budgets, monitoring progress, and keeping stakeholders informed the entire way. This must all be performed within the confines of a company's goals and vision.


JOB DUTIES AND RESPONSIBILITIES: 

  • Coordinate internal resources and third parties/vendors for the flawless execution of projects
  • Assist in ensuring that all projects are delivered on-time, within scope and within budget
  • Assist in the definition of project scope and objectives, involving all relevant stakeholders and ensuring technical feasibility
  • Ensure resource availability and allocation
  • Assist in the creation of a detailed project plan to monitor and track progress
  • Assist in management of changes to the project scope, project schedule and project costs using appropriate verification techniques
  • Measure project performance using appropriate tools and techniques
  • Report and escalate to management as needed
  • Assist in performing risk management to minimize project risks
  • Assist in the creation of and maintenance of comprehensive project documentation
  • Meet with clients to take detailed ordering briefs and clarify specific requirements of each project
  • Track project performance, specifically to analyze the successful completion of short and long-term goals
  • Meet budgetary objectives and adjust project constraints based on financial analysis
  • Assist in the development of comprehensive project plans to be shared with clients as well as other staff members
  • Develop spreadsheets, diagrams, and process maps to document needs

EDUCATION AND EXPERIENCE:

  • High school diploma or GED required
  • Associates degree preferred in computer science, business administration or a related field is preferred 
  • Bachelor's degree in computer science, business, or a related field is a plus
  • 2 years of project management coordination and related experience
  • At least 3 years of experience in a customer service role is preferred
  • Previous experience in a IT Support role or organization is a plus

KNOWLEDGE, SKILLS AND ABILITIES:

  • Basic computer and operating system knowledge
  • Knowledge of industry applications, processes, software, and equipment
  • Knowledge and experience with Microsoft Excel and Word
  • Knowledge and experience with the Microsoft 365 suite is preferred
  • Skill in typing to ensure quick and accurate entry of service request details
  • Soft skills such as telephony, communication, active listening, and customer-care
  • Ability to solve problems creatively
  • Ability to work in a team and communicate effectively
  • Ability to multi-task and adapt to changes quickly
  • Ability to match product resources to technical requests appropriately
  • Ability to think critically outside of process or structure and provide real-time solutions for clients
  • Ability to recognize and escalate potential points of growth within the department
  • Service awareness of all organization’s key services for which support is being provided
  • Understanding of support tools, techniques, and how technology is used to provide services
  • Strong familiarity with project management software tools, methodologies, and best practices
  • Excellent analytical skills
  • Strong interpersonal skills and extremely resourcefulAbility to complete projects according to outlined scope, budget, and timeline
  • Self-motivated with the ability to work in a fast-paced environment
