Job Description: Purchasing Administrator
Position Overview:
We are seeking a highly organized and detail-oriented Purchasing Administrator to join our team. As a Purchasing Administrator, you will be responsible for overseeing purchasing activities, managing inventory, coordinating freight bookings, and providing administrative support to the purchasing department. This role requires strong multitasking abilities, excellent communication skills, and the ability to work collaboratively with various teams.
Responsibilities:
1. Purchasing:
- Place purchase orders for materials, supplies, and equipment based on inventory levels and production needs.
- Liaise with vendors to negotiate pricing, terms, and delivery schedules.
- Coordinate the receipt of purchased items and ensure accuracy in quantity and quality.
- Manage returns and exchanges, ensuring timely resolution with vendors.
2. Inventory Management:
- Monitor inventory levels and track usage to ensure optimal stock levels.
- Conduct regular inventory counts and reconcile discrepancies.
- Collaborate with the warehouse team to manage stock rotation and minimize inventory holding costs.
3. Freight Booking:
- Coordinate and book freight shipments with carriers to ensure timely and cost-effective delivery.
- Provide necessary documentation and information to carriers to facilitate smooth transportation of goods.
- Track and monitor shipments to ensure on-time delivery and address any issues or delays.
4. Administration:
- Enter purchase orders into the system accurately and in a timely manner.
- Generate and review invoices, ensuring accuracy and proper documentation.
- Assist in forecasting and analyzing purchasing trends to support decision-making.
- Maintain organized records and documentation related to purchasing activities.
5. Software Skills:
- Utilize software tools such as Smartsheet and Excel to manage and analyze purchasing data.
- Effectively navigate computer systems and applications to perform job duties.
- Adapt to new software or technology tools as needed.
Qualifications:
- High school diploma or equivalent; additional education or certification in purchasing or supply chain management is a plus, not required.
- Previous experience in a similar purchasing or administrative role is preferred, not required.
- Strong organizational and time management skills with the ability to prioritize tasks effectively.
- Proficiency in using Smartsheet and Excel for data management and analysis.
- Computer literacy and familiarity with general office software and systems.
- Excellent communication skills, both written and verbal.
- Ability to work independently and collaboratively in a team-oriented environment.
- Adaptability and flexibility to switch tasks and handle multiple responsibilities.
- Attention to detail and accuracy in all work performed.
