Under general supervision from the Police Records Supervisor, the Police Records Technician performs a variety of general administrative support, and records management duties for the Police Department. At the Level II, additional duties exist, related to financial accounting, records and CCIC management.

Erie Police Records employees are responsible for filing all records in an efficient and accepted method which allows for accountability, accuracy, security, and ease of access while ensuring state and federal laws are followed concerning the retention and release of records.

ANTICIPATED WORK SCHEDULE:
Full-time, Tuesday - Friday, 0700-1700hrs

This position is required to be on-site for all scheduled shifts.

DUTIES AND RESPONSIBILITIES:

Police Records

  • Manages and maintains Police Department records, databases and files. Enters, retrieves and archives records as needed.
  • Ensures all information is accurate and compliant as required for Uniform Crime Reporting (UCR), National Incident Base Reporting System (NIBRS), Colorado Crime Information Center (CCIC) procedures and Department directives. Maintains CCIC/NCIC and other required certifications.
  • Reports crime statistics to state and federal agencies.
  • Documents vehicle repossession reports, impounds, private tows, found property and sex offender records.
  • Assists with the administrative development of policies and procedures.
  • Releases police records when requested by courts, school districts, district attorney's offices, probation, media outlets, and the public as allowed by the Colorado Open Records Act.
  • Handles various confidential paperwork and records including CCIC, NCIC Entries and Queries, NIBRS Entries, Body Worn Camera videos, etc.
  • Processes the disposition of Boulder and Weld County tickets.
  • Accepts payments for services such as fingerprinting, VIN inspections and report copies.
  • Assists in coordination of departmental records and reports for meetings, notices, agendas, and other matters; ensures proper departmental policies are followed.

Additional Level II Duties

  • Delegates tasks and assists in training volunteers and Records Technician I as needed.
  • Performs CCIC Coordinator duties.
  • Provides back up for Records Supervisor and other administrative support staff in their absence, to include responding to subpoenas in the event the Records Supervisor or Administrative Division Manager is unable to do so.
  • Provides records management system training to new officers.

Other

  • Provides direct administrative support to the Police department.
  • Provides notarial services.
  • Performs related duties as assigned.

High School diploma or general education degree (GED) required

One (1) year of office administrative experience preferred

Must be CCIC/NCIC certified within three months of employment; must re-certify CCIC/NCIC every two years

Valid driver's license and satisfactory driving record required

Must become a notary within three months of employment and recertify every four years

Typing speed of 60wpm preferred

Records Technician II

High School diploma or general education degree (GED) required

Minimum of one (1) year of police records experience required

Must be CCIC/NCIC certified within three months of employment; must re-certify CCIC/NCIC every two years

CCRN certification preferred

Valid driver's license and satisfactory driving record required

Must become a notary within three months of employment and recertify every four years

Typing speed of 60wpm preferred

In additional to the minimum/preferred qualifications, our ideal candidate will be:

  • Someone who has excellent customer service skills- especially skilled with de-escalation tactics.
  • Someone who understands work will be performed at the Police Station and must be comfortable coming into contact with police officers, community members, offenders and other visitors on a regular basis.
  • Someone who understands they will be dealing with sensitive information on police reports and some content may be triggering.
  • Someone who is able to work in multiple computer software programs, efficiently and concurrently.

KNOWLEDGE, SKILLS & ABILITIES REQUIRED:

Knowledge of:

Learn specialized police records applications; policies and procedures regarding records retention and release; pertinent federal, state, and local laws, codes and regulations; knowledge of the Colorado Open Records Act and specifically Criminal Justice Records laws; and working knowledge of business English, spelling and punctuation;

Skills in:

Demonstrated skill in the use of a computer and various application programs; work on confidential tasks; communicate effectively with the public; maintain effective working relationships with employees; read and comprehend simple instructions, short correspondence, and memos; perform common mathematical operations; apply common sense understanding to carry out detailed but uninvolved written or oral instructions; deal with problems involving a few concrete variables in standardized situations; ability to respond to common inquiries or complaints from customers, or other public or private agencies; ability to compute basic mathematic calculations; and work independently in the absence of direct supervision.

Environmental Factors:

Work is generally performed in a Police Department office environment; some work may be required in an outdoor environment. Frequent to constant use of a personal computer. Work will involve competing demands, performing multiple tasks, working to deadlines; and frequent contact with the public during fingerprinting services.

Physical Factors:

While performing the duties of this job, the employee spends majority of their time seated or standing at their computer workstation; occasional walking; frequent contact with the public both in-person or via phone or email; occasionally lifts boxes up to 10-15 lbs.
