What are the responsibilities and job description for the Violations Clerk, Full-Time position at Township of Livingston?

F/T, Regular, Non-Exempt Position

Schedule: 35 Hours/week, M-F 8:30AM – 4:30PM

Essential Functions: The duties listed below are intended only as illustrations of the various types of work that may be performed. The omission of specific statements of duties does not exclude them from the position if the work is similar, related or a logical assignment to this position.

  • Data entry of all motor vehicle and criminal summonses within 24 hrs of receipt from Police
  • Filing of all motor vehicle and criminal summonses and associated paperwork; keeps files and file room neat and in order.
  • Prepares correspondence, picks up and delivers mail.
  • Prints and distributes daily notices and reports.
  • Answers phones, forwards calls as needed.
  • Assists the public on the phone and at the counter. Responds to requests from the Judge, Prosecutor, Police Department and others for assistance.
  • Data entry of all payments for fines paid by mail and at the counter.
  • Monitors the Time Payments.
  • Creates forms and templates on the computer as needed
  • Prepares certified court dispositions upon request.
  • Completes paperwork and does follow up as needed after court.
  • Performs basic office maintenance procedures for smooth, efficient operation.
  • Attends required initial training and consistently attends seminars and workshops offered by professional organizations, AOC and the Township of Livingston.
  • Assists with Court Administrator and Deputy projects.
  • Performs other duties as assigned by Court Administrator.
  • Thorough knowledge of general office procedures and equipment.
  • Knowledge of legal language and legal procedures.
  • Working knowledge of office computer use, specifically Windows XP, MS Office Suite (Word, Excel & Access) and the ability to learn new software.
  • Thorough knowledge of business English, spelling and arithmetic.
  • Some knowledge of basic bookkeeping and experience with money.
  • Knowledge of video conferencing software such as Zoom and Teams.
  • Excellent customer service skills.
  • Ability to perform and organize work independently.
  • Attention to detail and accuracy
  • Ability to maintain confidentiality.
  • Ability to communicate effectively orally and in writing.
  • Ability to speak and write clearly and concisely.
  • Pleasant phone voice and ability to work with the public in a positive and constructive manner.
  • Ability to read, write, speak, understand and communicate in English sufficiently to perform the duties of the position.
  • Ability to establish and maintain effective working relationships with co-workers, supervisors, officials, and the general public.

Education, Experience and Special Requirements: Any combination of education and experience equivalent to graduation from High School and one year experience or course work in general office practices, computers or the judiciary.
