Fleet Maintenance Administrator
Up to $55,000 / year

Essential Functions of Fleet Maintenance Admin :
Processes all invoicing daily.
Invoice match all paid invoices with the purchases by account interface detail.
File all invoicing neatly by week.
Point of contact for all vendors and customer to check payment statuses of garage invoicing.
Verify vendor statements in the maintenance program and Vendor books to provide payment status.
Assist in new vendor setups in the maintenance program.
File fuel binder documents, Environmental Documents, and needed Tmaps Binder items.
Build timecards weekly, submit HR forms for any garage personnel needed, and send FMLA calendars for garage personnel.
Prepare licensing documents required by the state when registering new tractors.
File employee documents.
File PM work orders and equipment file documents, record tire airing completed by the garage.
Send out weekly fuel files to third-party carriers.
Learn the fuel reporting process, and train as an alternate on fuel processing to fill in as a backup.
Build fuel cards when requested by all transportation groups.
Post company HR / Safety postings for all employees.
Submit tool, boot, and safety eyewear documents for garage employees.
Additional assigned admin duties as assigned by the manager.
Must have previous experience in a truck maintenance shop Required !!

7 AM to 330 PM

- High School diploma / GED.
- At least 3 year's experience in a fast-paced office environment.
- Demonstrated attention to detail.
- Past experience in transportation industry "Required"
- Intermediate to advanced proficiency with payroll processingplatforms.
- Intermediate use of MS Office Suite required.
- Proven ability to work with confidential data.
- Ability to work independently.
- Ability to work under pressure.
- Regular attendance is an expectation of performance to ensure proper support of Transportation team.
