What are the responsibilities and job description for the Invoice Resolution Specialist position at Transplace Texas, LP?

PRIMARY JOB ACCOUNTABILITIES

  • Customer Relationship (Consistent and professional communications; effective, prompt and courteous communications with respect to difficult situations, invoice resolution, etc.)
  • Carrier Relationship (Productive carrier relationship development, handling and management of invoice resolution, etc.)
  • Internal Operations Relationship (Formulate Internal Operations relationship development for each specified client while creating and maintaining SOP procedures.)
  • Financial Procedures and Operating Metrics (Research/root cause invoice discrepancies, benchmark rate achievement, automation objectives, expedite decisions and cost, etc.)

ESSENTIAL FUNCTIONS AND TASKS

  • Confirm shipment delivery via carrier websites, phone, email, etc.
  • Create shipments when necessary based on customer and carrier business rules.
  • Correspond with Operations, customer, and carrier regarding rating and accessorial information as set per customer business rules.
  • Additional Responsibilities Regarding Customer and Carrier Relationships
o Lead training sessions for Carrier Contacts as necessary on Carrier Portal.
o Set-up new customer and vendor users and locations in the TMS, leveraging knowledge of customer business practices.
o Use of JIRA to file tickets of identified issues surrounding invoice resolution.
  • Long term KPI reporting by account as determined by management.

KNOWLEDGE AND EXPERTISE

  • The "I am Transplace" Way (Protocols for answering the phone, e-mail, IM, etc. etiquette and professional standards)
  • Knowledge of Microsoft Tools (Ability to leverage Excel and other MS programs, including Word, Outlook, Skype, etc.)
  • Knowledge of the Customer's Business (Knowledge and understanding of the customer product, speak the customer's language and understand the customer's key service measures, etc.)
  • Transplace Expertise (Understand and know the Mission, Values and Goals, organizational structure, company history, how we function internally, administration, best practices, processes, behavior, the complete Transplace order-to-cash, etc.)
  • Working Knowledge and Utilization of the TMS

SKILLS

  • Basic Math (Includes aptitude to learn how to calculate mileage as it relates to the passage of time)
  • Service Orientation (Commits to and enjoys providing exceptional service to internal and external customers)
  • Ability to self-manage daily workload and maintain focus of individual and team goals.
  • Must have ability to appraise, evaluate and adequately respond to environmental strain and emotional stress. Troubleshooting; time management, decision-making, emergency response, time constraints, analysis and implementation

TRAVEL

  • This job does not require extensive travel.

EXPERIENCE

  • 1 – 2 Years of Customer Service and/or Transportation experience

EDUCATION

  • High school degree or GED required
