This role will aid in the coordination of department operations, and the management of resources to facilitate organizational effectiveness and efficiency by leveraging administrative systems, procedures, policies, and monitoring administrative projects. Candidate will have regular exposure to sensitive and confidential information requiring considerable use of tact, diplomacy, discretion and judgment.PRIMARY DUTIES AND RESPONSIBILITIES:Provides administrative support for the Chief Legal and Compliance Officer and Deputy Chief Counsel and Assistant Corporate Secretary, including preparing communications, maintaining schedules, calendars, meeting and conference coordination, travel coordination, and submitting business expenses.Calendar Management and Coordination: Maintain a calendar of Legal Department Meetings, Society Meetings, and other ongoing commitments as well as respond to meeting requests, draft, and maintain meeting minutes as requested, and providing reminders in a timely manner.Documents, Spreadsheets, and Presentations: Draft brief correspondence of a routine nature, prepare and edit presentation materials for senior-level meetings and training of business stakeholders, reports, forms, and documents, sometimes with limited direction. Demonstrates effective cultural sensitivity in titles and names and superior usage of grammar, formatting and identifying errors.Provide support for activities of the Deputy Chief Counsel & Assistant Corporate Secretary including Committee and Board meeting logistics and administrative support for Board members related to their service on the Board.Edit, organize, use and manage documents and reports in a number of systems, including BoardVantage (an online board communications portal), File 16 (a tool for file Section 16 reports with the SEC), and ActiveDisclosure (a tool for preparing proxy statements, periodic financial reports and other filings with the SEC).Develop effective professional relationships and partnerships with internal and external stakeholders and organizations, including the company’s executive leadership team.Update and maintain various records and documents for the Legal Department, including contracts, securitization documentation, NDAs, vendor contracts/SOWs, and amendments.
