Job Summary:
The primary function of the Office Manager is to perform and oversee accounting and administrative functions at the dealership. Responsibilities include the following: post truck deals, reconcile and post cash sales, review scheduled accounts, prepare journal entries, assist the corporate accounting department with monthly closing, assist with truck inventory, prepare sale documents, assist with financing, complete title work, and ensure necessary paperwork is archived. The Office Manager serves as a liaison for the human resources department and supervises one or more employees.
Duties and Responsibilities:
- Oversee dealership cash.
- Review parts invoices and repair orders for reasonableness.
- Reconcile coupons and post receipts.
- Oversee posting of miscellaneous receipts.
- Prepare and post journal entries.
- Maintain documentation for truck inventory ensuring all documents are archived.
- Prepare truck sale paperwork and coordinate the process through sale completion.
- Post truck bills of sale to the general ledger.
- Prepare check and wire requests.
- Calculate and submit monthly truck salesperson commissions.
- Review scheduled accounts and follow-up on aging items.
- Review the cash sale schedule weekly and follow-up on aging invoices.
- Reconcile factory receivable account and follow-up on aging items.
- Manage truck floorplan and interest. Ensure payoffs are handled in a timely manner.
- Review expense reports and forward to corporate for reimbursement.
- Review general ledger accounts and financial statements prior to monthly closing.
- Perform financial analysis of departments and assist with annual budgeting process.
- Serve as human resources liaison in the dealership.
- Lead the dealership safety team.
- Maintain DOT and CDL files in compliance with state and federal statutes.
- Maintain list of employees and positions.
- Coordinate regular mailing of packages to corporate.
- Oversee receptionist, cashier and administrative personnel as applicable.
- Oversee building maintenance and janitorial.
- Order office and cleaning supplies as needed.
- Assist with marketing and coordinating events.
- Perform other duties as assigned and directed.
Qualifications:
- Ability to read and comprehend English instructions and information.
- Two to four years of accounting and supervisory experience
- High School diploma or the equivalent
- Working knowledge of Excel, Word and other accounting programs.
- Excellent communication, supervisory and organizational skills.
- Professional personal appearance.
