Summary of the Role
TrueJourney is a boutique financial planning and private wealth management practice with multiple offices throughout the Midwest providing financial advisory, investment and fiduciary management services. We are seeking an experienced Office Manager to support our continued growth!
As the Office Manager we will lean on you to help organize and coordinate office administration and procedures for all of our (X) offices in order to ensure organizational effectiveness, efficiency, and profitability. The Office Manager is responsible for developing and managing intra-office communication protocols, streamlining administrative procedures, inventory control, and organizing internal employee information.
This role requires an energetic professional who doesn't mind wearing multiple hats. You must be experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision. The ideal candidate is well organized, flexible and enjoys the administrative challenges of supporting an office of diverse people.
What You’ll be Doing:
- Developing and implementing office policies by setting up procedures and standards to guide the operation of the office
- Organizing and scheduling vendor meetings and appointments
- Partnering with HR, to maintain office policies including benefits administration and payroll processing
- Coordinating with IT department on all office equipment
- Managing relationships with vendors, service providers and landlords, ensuring that all items are invoiced and paid on time, to include establishing and monitoring procedures for record keeping
- Managing contract and price negotiations with office vendors, service providers and office lease
- Providing general support to clients as needed in support of the Relationship Management team
- Managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved and that clerical functions are properly assigned and monitored
- Ensuring that results for efficiency with our offices are measured against standards, while making necessary changes along the way
- Ensuring office financial objectives are met by preparing annual budget for TrueJourney offices, planning the expenditures, analyzing variances and carrying out necessary corrections that may arise
- Developing standards and promoting activities that enhance operational procedures
- Allocating available resources to enable successful task performance
- Organizing orientation and training of new staff members
- Monitoring and maintaining office supplies inventory
- Coordinating and processing financial reports for TrueJourney offices
Knowledge Base Necessary to be Successful in this Role:
- Knowledge of accounting, data and administrative management practices and procedures
- Knowledge of clerical practices and procedures
- Knowledge of human resources management practices and procedures
- Knowledge of business and management principles
Requirements:
- Proven office management, administrative or assistant experience
- Proficient with QuickBooks; payroll, accounts payables, accounts receivables, invoicing, collections, financial reporting, account reconciliation, etc.
- Office management and administrative experience; record keeping of payroll, human resources, project management, sales, data entry, handling phone calls, etc.
- Excellent time management skills and ability to multitask and prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Proficient in MS Office 365
