Account Clerk II - Register of Deeds Office Part Time
General Statement of Duties
Checks, verifies, and prices a variety of documents for recording purposes. Assists the public and title companies in the completion of transactions pertaining to Real Estate. Also determines applicable fees including calculating and collecting payments, and state and local transfer tax. Requires complex and accurate data entry, self-motivation to complete tasks, and excellent communication skills.
Examples of Work
Reviews documents presented to assure compliance with State recording requirements
Works with abstract companies, title companies and others in regard to records of land, property sales and transfers
Notifies customers when documents are incomplete or un-recordable
Checks legal descriptions to the extent necessary to meet recording requirements
Assists customers in researching recorded documents.
Assists local government officials with questions regarding records, including providing property transfer information to county treasurer, equalization and township supervisors
Maintains land corner records and survey files.
Collects fees including State and Local transfer tax and provides receipts
Provides answers to general property questions and county related questions for phone and counter customers
Processes all incoming and outgoing mail.
Processes documents submitted electronically
Operates various office equipment including scanning and microfilm equipment
Preferred Knowledge, Skills and Abilities
Knowledge of legal descriptions of property
Ability to read surveys, plats, and legal descriptions
Knowledge of county geography and real property records
Able to interpret documents and make judgments necessary to the recording procedure
Knowledge of terminology, procedures, routines and equipment used in recording industry
Aptitude for clerical and technical tasks including excellent phone skills
Able to understand and carry out complex oral and written directions
Able to make decisions in accordance with laws, regulations and established departmental policies
Good knowledge of clerical methods, business math and English
Able to calculate required fees for recording and taxation purposes and to calculate appropriate change
Experience and Training
Experience working with real estate related documents, typing and computer operations; and accounting or financial operations experience.
Rate of pay: Account Clerk II: $17.61 per hour
