Position Description
The Scheduling Lead supports USMM’s mission, vision, core values and customer service philosophy. Adheres to the USMM Compliance Program, including following all regulatory and division/company policy requirements. Under the direction of the Call Center Manager, the Scheduling Specialist manages provider schedules, verifies patient demographics, insurance and financial information, and assures financial eligibility of members scheduled for Intervention and Assessment services. This position serves as a point of contact with billing in Troy who will process claims for payment of services rendered.
Essential Duties and Responsibilities
- Responsible for managing provider schedules who are in the field delivering Health Risk Assessments and/or Transitional Care Management manually and/or electronically using scheduling software that includes geographical mapping and scheduling efficiency technology
- Assures through electronic patient eligibility management that all patients scheduled for assessments or other services have benefits and are currently enrolled in the health plan to which they are assigned
- Leads the outreach team and call center staff, under the direction of the call center manager and VP, in a professional, courteous and effective manner problem solving issues in a timely manner
- Accountable for outstanding customer service to all external and internal customers
- Develops and maintains effective relationships through effective and timely communication
- Takes initiative and action to respond, resolve and follow up regarding issues or problems that may arise
- Meets the needs of providers in the field in a cheerful, accommodating fashion within established parameters and notifies manager and VP, if necessary, when there are violations of established scheduling requirements by providers
- Verifies insurance benefits utilizing all available resources
- Provide outreach calls to patients as a back-up when outreach specialists are unavailable and will reschedule appointments as requested
- Consistently meets all quality and productivity standards set by department manager or supervisors
- Other duties as assigned
- In collaboration with the Call Center Manager, intermittent Saturdays will be required as part of the normal work week.
REQUIRED Knowledge, Skills and Experience
- High School diploma or equivalent
- 2 years of experience in medical office or other healthcare setting with proven, positive interactions with medical professionals and experience in scheduling patient appointments
- Excellent oral, written and interpersonal communication skills
- Ability to multi-task in a call center environment
- Ability to work independently and prioritize work assignments to meet department deadlines
- Must be adept in using Microsoft Office software
- Must have demonstrable experience in quickly learning and applying new software tools and programs as well as using electronic work tools
Preferred Knowledge, Skills and Experience
- Experience directly scheduling medical provider patient appointments
- Some college coursework, accepted in lieu of experience
- Completion of Medical Terminology course
