DESCRIPTION

This position focuses on the transactional aspects of recruitment for staff positions at the UC San Diego Rady School of Management and provides some transactional support to Rady Academic Personnel. The HR Generalist organizes the interview process of multiple recruitments involving multiple areas of the Rady School of Management, multiple types of jobs, and multiple supervisors, and communicates with applicants and interviewers about the specifics of the job posting, job description, and interview process. The position advises supervisors on membership needed on various interview committees, reaches out to interview panels and trains on interview process and responsibilities. Using Outlook calendaring and Zoom, the position schedules interview panelists and schedules applicants by reaching out to candidates in a professional, consistent manner, evaluating the best mechanism to reach the applicant (phone, email, text). Based on awareness of job description and job posting, customizes templates to create interview invitations and confirmations and creates drafts of interview questions, questionnaires, and interview evaluation tools. Advises supervisors on how to use HireOnline. Responds to inquiries from applicants, using knowledge of the recruitment process and hiring priorities to respond accurately and diplomatically.

This position also completes projects in the Academic Personnel area of the Rady School of Management. Responsibilities there include special projects needing analysis and compilation of data, knowledge and application of policy, and strong writing skills to write new policies. Responsibilities may include: editing and writing content for the Faculty Handbook; creating content and posting on the Rady School Faculty Intranet Page; evaluating and making entries into faculty leave requests into the UCSD online Faculty Leave request and approval system; making entries into the temp faculty appointment system - Salesforce model @ UCSB Summer Session, Faculty 180 database; and reviewing, revising, and editing the Faculty Relocation policy and protocol (AP-FA-Finance) with an emphasis on procedures related to reimbursement of moving expenses and communication of those policies to new faculty.

The position may track and oversee accurate and timely completion of online onboarding including requesting background checks, IT equipment, building keys. The position also tracks a wide variety of human resources data such as open positions, recruitment timelines, employment status (Temps, STEs, student, and career FTEs), Orientation Attendance, LOAs, Alternate Work Locations, Flexible Schedules, Performance Appraisals, Job Descriptions, Job Postings, Mandatory Training, Advertising expenses, etc.

QUALIFICATIONS

  • Professional Human Resources certification (via HRCI or SHRM) or another HR certificate, or some coursework in Human Resources or HR Administration (preferably at a university or certification organization), or similar work experience.

  • Demonstrated experience in a high volume environment with multiple recruitments, interview panels, and applicants, occurring simultaneously with exquisite attention to detail to ensure all interviews and follow-ups occur without error and proceed smoothly.

  • Knowledge of a wide variety of positions at a large business school: admissions officers, recruiters, career advisors, web designers, writers, graphic artists, IT techs, programmers, System Administrators, finance professionals, academic advisors, admin staff, program/events planners, Assistant Deans, research associates, data analysts, academic personnel specialists, videographers, visiting scholars, temp faculty, ladder ranked faculty, etc.

  • Experience placing ads, assembling job information/job description/job postings, scheduling interviews, creating interview itineraries, ensuring Zoom technology (equipment, Zoom arrangements) are understood by all and in place, drafting interview questions or interview evaluation forms for a wide variety of jobs commonly found at a university, both staff and faculty positions.

  • Experience organizing a sequential, formal interviewing process involving multiple interviewers with formal, customized interview questions, evaluation forms, and an online resume system. Experience coordinating interview panels, negotiating interview times with interview panelists with complex and opposing calendars, and experience drafting invitations to interview panels and applicants.

  • Proven experience with interviewing procedures. Experience using an online system to locate, assess, and distribute resumes. Experience accessing online systems to locate and distribute job descriptions. Experience assembling information packets for interviewers based upon the needs of the interview panel.

  • Experience reviewing resumes, communicating with supervisors, interview panels and applicants regarding the status of recruitments. Experience responding to applicants via phone and email about status of recruitments and succinctly answering questions about recruitment logistics in a timely manner in person and via writing.

  • Expert-level experience using Outlook calendaring to juggle interview panelists schedules based on the timeline of recruitment priorities.

  • Proven knowledge of standard business practice regarding personnel recruitment policies and procedures, confidentiality of personnel records, interviewing procedures, and assessment of applications/resumes.

  • Business writing skills. Excellent business writing skills. Experience independently composing and editing basic human resources documents such as interview invitations, interview confirmations, interview questions, interview panel instructions, job offers, and instructions. Experience editing general formatting of job postings and job descriptions and appropriate language associated with human resources documents.

  • Experience using a complex online system either at UC San Diego (HireOnline/AP Online) OR another online recruitment system elsewhere. Experience with an online job description library, online onboarding system, online I-9 management system, and online background check system. Experience researching information online using a variety of HRIS/HRMS systems, payroll systems.

  • Demonstrated experience responding to inquiries about confidential topics using good judgement and customer service skills. Rapport-building skills. Professional, tactful communication skills and experience discussing confidential details in a diplomatic manner.

PREFERRED QUALIFICIATIONS

  • Experience using UC San Diego online systems including JDOnline, HireOnline, UCPath, Title & Pay Code, Career Tracks Classification, AP Online.

  • Knowledge of Academic Personnel relocation policies, experience processing faculty reimbursements related to new hires/relocations and the polices related at UC San Diego or a similar institution/university
