DESCRIPTION
Under general direction from the HR Generalist, the HR Coordinator provides HR administrative support to approximately 130 monthly/biweekly staff employees, 200 limited appointment employees hired by agreement, and ~100 student employees within the Department of Enrollment Management.
In this role, the HR Coordinator primarily supports the recruitment, selection and on-boarding of student, contract, limited and career employees; transaction processing of personnel actions according to policy and/or union contract requirements; maintenance of hard copy and electronic employee records; provision of comprehensive benefits and leave information to all new employees and to continuing employees; payroll and timekeeping functions for assigned units; and other special projects as assigned.
The HR Coordinator functions as a team member and provides positive contributions to achieve the goals of the EM and the EM Business Office. Performance of duties requires strong customer service skills, attention to detail, ability to prioritize workload and excellent interpersonal and communication skills.
QUALIFICATIONS
Solid understanding in the administration, application, and best practices of multiple human resource disciplines, including but not limited to recruitment, classification/compensation, records management, leaves of absence, and benefits.
Excellent customer service and team skills to cooperatively and productively define and resolve problems. Demonstrated ability to work positively as a team member and demonstrate flexibility in accomplishing departmental goals.
Ability to fully understand assignments; analyze, interpret and apply policies and procedures; research and gather data and information from a variety of resources in an independent and reliable manner; and/or evaluate solutions and provide recommendations for resolutions.
Strong organizational skills, with accuracy and attention to detail. Demonstrated ability to meet deadlines despite frequent interruptions multiple deadlines in a dynamic environment with numerous interruptions. Demonstrated ability to adapt to change and work efficiently during peak periods and communicate issues, potential problems, and needs.
Strong oral and written communication skills to communicate and interact with diverse personalities with demonstrated ability to convey information and provide guidelines in a clear and professional manner, using diplomacy, tact, confidentiality, and discretion in all interactions.
Ability to exercise high level of independent judgment to provide problem solving/ identification, analysis, prioritization and implementation used in highly consequential management and administration decisions.
Ability to focus on both the conceptual and quantitative aspects of projects. Ability to use independent judgement in resolving complex problems and issues.
Analytical skills to recognize problems, develop potential solutions, implement appropriate solutions, and evaluate results or progress.
Demonstrated experience and solid skills to perform basic mathematical computations such as adding, subtracting, multiplying and dividing whole numbers, fractions and decimals.
Strong background and skill utilizing online computerized systems for business processes such as purchase order submission and approval, facility maintenance requests, and fund management and monitoring, MS Office and other project management tools, in addition to: UCSD financial ssytems (IFIS, PPS, FinancialLink, EmployeeLink, and Marketplace.
Proven ability to maintain strict attention to detail, accuracy, clarity, and confidentiality; ability to protect the integrity of secured information, etc.
Ability to identify issues of importance to staff, ability to prioritize information and identify areas needing further explanation or discussion. Ability to identify potentially difficult situations for discussion with the HR Generalist.
SPECIAL CONDITIONS
Duties may require direct contact with children (defined as individuals under the age of 18).
Completion of the Child Abuse and Neglect Reporting Act (CANRA) form is required.
Job offer is contingent upon a satisfactory clearance based on background check results.
Occasional overtime and weekends may be required.
