As a key stakeholder within UG2, the Onboarding Supervisor will expand and manage the onboarding function to encompass broader areas of employee services. This role requires a strategic and analytical approach to enhance overall employee experience and operational efficiency within the integrated facility services sector. The Onboarding Supervisor will utilize data analytics, oversee compliance reporting, lead various HR projects, and perform significant tactical work.
Job Responsibilities:
Leadership and Strategy:
- Lead and develop the Onboarding Specialist team, fostering a culture of excellence and continuous improvement.
- Architect and implement strategies that streamline onboarding processes and integrate them seamlessly with broader employee services.
- Act as a key partner to senior leadership, providing insights and recommendations to drive strategic HR initiatives.
Technical and Analytical Abilities:
- Utilize advanced data analytics to monitor and improve onboarding and employee service processes, ensuring data-driven decision-making.
- Oversee compliance reporting, ensuring all practices meet regulatory requirements and industry standards.
- Implement and manage HRIS and other technical systems to enhance data integrity and operational efficiency.
- Lead projects related to system migrations, process automation, and digital transformation within the HR function.
Operational Excellence:
- Expand and manage the onboarding experience, ensuring a seamless transition for new hires across all regions.
- Develop and maintain comprehensive onboarding materials and training programs to support new employees and managers.
- Oversee the creation and maintenance of a paperless filing system, promoting efficient document management and retrieval.
- Ensure timely and accurate data entry and audit processes, minimizing errors and enhancing payroll accuracy.
Employee Services Expansion:
- Expand the scope of employee services to include areas such as employee relations, benefits administration, and performance management.
- Drive initiatives that enhance employee engagement and satisfaction, fostering a positive work environment.
- Coordinate with various departments to ensure cohesive and comprehensive employee service delivery.
Project Management and Execution:
- Lead HR projects, including system upgrades, process improvements, and regional onboarding audits, ensuring timely and successful completion.
- Collaborate with cross-functional teams to support HR initiatives and company-wide objectives.
Tactical Work:
- Perform hands-on tasks related to the onboarding process, including data entry, document verification, and compliance checks.
- Manage the daily administrative tasks of the onboarding function, ensuring all processes are efficient and effective.
- Address and resolve any onboarding issues promptly, providing support and solutions to new hires and managers.
- Coordinate and facilitate new hire orientations, ensuring all necessary paperwork and training are completed.
Key Interactions:
- Engage with all leaders and stakeholders.
- Engage with all employees organizationally as needed.
- Partner with the VP of People and other leaders.
Supervisory Responsibilities:
- Lead the Onboarding Specialist team with a focus on operational effectiveness and continuous improvement.
- Mentor and develop team members, emphasizing skills in strategic HR management and employee engagement.
Requirements (Knowledge, Abilities, Skills, and Education and/or Experience):
- Bachelor’s degree in human resources, Business Administration, or a related field; Master’s degree or relevant certifications preferred or combined equivalent industry and sector experience.
- Minimum of 7-10 years of experience in HR, with a strong focus on onboarding, data analytics, and compliance.
- Proven leadership experience, with the ability to manage and develop a high-performing team.
- Strong technical skills, including proficiency with HRIS, data analytics tools, and other HR technologies.
- Excellent communication and interpersonal skills, with the ability to build relationships and influence stakeholders at all levels. Demonstrated ability to manage multiple projects and priorities in a fast-paced environment.
- In-depth knowledge of HR best practices, compliance requirements, and industry trends within the integrated facility services sector.
Preferred Skills:
- Advanced proficiency in HRIS (e.g., ADP, Workday), data analytics software (e.g., Excel, Tableau), and compliance management tools.
- Strong analytical and problem-solving skills, with a data-driven approach to decision-making.
- Ability to lead and drive change management initiatives, fostering a culture of continuous improvement.
Working Conditions and/or Physical Requirements
- Some minimal travel may be required based on role responsibilities.
- Office-based role with visits to operational sites and client locations.
- Ability to engage lifting up to 45 pounds.
