About the Role:
Our office in Norwell, MA is looking for an Office Manager to join our growing team! We are looking for a team player that is able to collaborate with the Center Director and Clinicians as needed.
Essential Responsibilities:
- Administrative tasks such as answering the phone, greeting clients & informing clinicians of appointment arrival, continuous networking/marketing through phone conversations, supply management, vendor management, incoming faxes, ordering lunch, putting together intake packet prep, making copies as necessary, filing, and handling medical record requests
- Responsible for intake management such as booking future appointments, checking system notes for appointments & printing the information for clinicians, making confirmation calls and helping clients with paperwork when needed
- Manage billing and reports on the financial side such as co-pay management, facilitate/manage fee arrangements with the Director, debt management, enter new patient info in the computer system, close out cases in the system, responsible for verifying insurance coverage and client co-payments and obtain authorization or treatment from the client’s insurance pay sources
- Continue to check / assure client has coverage through their admission (daily or agreed upon with Director)
Leadership Expectations:
- Fosters staff development and growth of team
- Provides regular coaching and feedback to employees to motivate performance
- Completes performance evaluations providing thorough feedback and goals to assigned staff by established deadlines
- Coordinates and provides day-to-day oversight to staff; actively involved in resolving employee matters/issues
- Maintains open communication through regular rounding and one to one meetings with employees
- Ensures staff comply with assigned education requirement in a timely manner (i.e., CIA Training, HIPAA training, competencies, etc.)
- Responsible for holding staff accountable with upholding facility policies/procedures and managing the corrective action process when needed
- Actively participates and champions the facility’s Service Excellence and Recognition Programs
- Develops team building initiatives to engage staff and build a positive team dynamic
- Actively participates in the recruitment, hiring, and onboarding for all staff within the team

Qualifications
- Minimum of 3 years management experience in an office, preferably in a medical setting
- Candidate must possess appropriate citizenship work documentation
- Candidate must pass a CORI and drug test, as well as other pre-employment documentation
- Candidate must provide proof of Covid-19 Vaccination Card or appropriate religious / medical exemption. Card must possess at least either two Moderna Vaccinations, two Pfizer vaccinations, or a J&J vaccination
