What are the responsibilities and job description for the Office Manager position at Umpqua Medical?
The Office Manager shall be responsible for overseeing the day-to-day operations of the clinic and overseeing staff and office processes. They will ensure that the schedule is maintained per company policy and that patients are treated with courtesy and respect. They will ensure that the providers stay on schedule and that patients are communicated with if they are expected to unnecessarily wait.
Essential Job Functions:
1. Oversight and supervision of clinical and non-clinical staff and workflow.
2. Resp;onsible for provider enrollment and credentialing with insurance companies and maintaining up to date payor contracts and rates.
3. Collaborate with physician and nursing staff to develop and adhere to policies and procedures, as well as, assist with long range planning and development.
4. Responsible for obtaining prior authorizations from insurance companies and ensure that payment will be made before patients are treated.
5. Recruit, hire and train staff and oversee their day-to-day activities.
6. Monitor hours and work performance to staff to ensure competency and productivity.
7. Conduct performance evaluations and make recommendations for training and continuing education.
8. Prepare and deliver performance improvement counseling accompanied with accurate and complete documentation of areas of concern.
9. Assess staffing needs to ensure staffing is appropriate to meet the needs of the practice without over or understaffing.
10. Meet regularly with the physician to discuss recommendations for business improvement, growth, and development of the practice with the goal of assuring the practice remains current and profitable.
11. Stay up to date in all federal and state regulations related to the operations of a medical practice.
Requirements:
- Proven experience in office management, with previous experience with managing staff.
- Strong organizational skills with the ability to multitask and prioritize effectively
- Excellent communication skills, both written and verbal
- Proficient in using office software such as Microsoft Office Suite (Word, Excel, Outlook)
- Knowledge of medical office procedures and terminology is preferred but not required
- Ability to work well under pressure in a fast-paced environment
- Attention to detail and accuracy in all tasks
Job Type: Full-time
Pay: $19.00 - $29.00 per hour
