8:00 am – 5:00 pm; Monday – Friday with occasional evening and weekend hours required, as necessary.
Primary Purpose of Position
Responsible for processing all outgoing university mail and for ensuring that all mail meets stringent and changing USPS regulations. These regulations are subject to change bi weekly and must be monitored closely for changes that effect university mail.
Minimum Education/Experience
Required Minimum Qualifications:
High school diploma or equivalency.
University Preferred Qualifications:
Graduation from high school or successful completion of its equivalency and two years of relevant experience in the area of assignment; or an equivalent combination of training and experience.

Essential Job Duties
- Oversees and manages the bulk mail center.
- Maintain thorough knowledge of industry equipment/processes and changing USPS rates, regulations, and restrictions that impact both Nonprofit and First-Class mail processing.
- Complete mail merge, data entry, data correction, printer troubleshooting, and machine operation. Must understand document merge from excel and access databases as they relate to specialized addressing software programs.
- Sets up and adjusts equipment according to instructions for material being printed, processed, or completed.
- Operate inserters and folder/inserter combinations, simple office and bindery/copier equipment, offset press and peripheral equipment, inkjet printing, and tabbing equipment.
- Performs simple preventive maintenance, cleaning, and lubrication of equipment.
- Contact vendors for equipment service calls and provide detailed and accurate systems problems to service vendors.
- Coordinate network/integration of mail service software products to a variety of production printing devices.
- Must understand how to use internal MS graphics software in order to direct imprint icons and other University branding graphics or pictures to external envelopes.
- Conducts research on Postal One accounting system to ensure Postal Statements contain accurate charges.
- Ensures data is stored in the appropriate format for export/import and cleans/arranges data into proper mailing address formats for printing and exports to departments for updating departmental databases.
- Compiles financial reporting information and submits invoices to departments.
- Gathers and submits financial information to Operations Supervisor for budget assessment and budget projections.
- Transport completed mailings to the USPS Business Mail Entry Unit.
Other Work Responsibilities
- Assists in cross training mail service staff on operation of equipment and database processing.
- Supervises work study students that are assigned to work in the Bulk Mail Center.
- Provide coverage of mail delivery routes when needed during times of staff shortages.
- Process incoming mail in SCLogic package tracking software.
- Process outgoing mail on meter machines and shipping software.
Departmental Preferred Experience, Skills, Training/Education
- Minimum Education of High School or equivalency.
- One year of direct experience processing bulk mail in a University environment or a non profit organization.
- One year of experience working in a Postal environment.
- Experience using handheld scanners.
- Experience with the use of presort software in a Mail Operation.
- Knowledge of postal regulations.
- Ability to operate various mail processing equipment.
- Experience and knowledge of Microsoft Office and Google Suite (intermediate experience preferred) and working in databases.
- Effective communications and marketing skills both written and verbal.
- Basic math skills.
- Strong attention to details.
Necessary Licenses or Certifications
- Valid State Issued Driver’s License Needed
