Job Title
The Accounts Payable Manager will be responsible for overseeing the accounts payable process, ensuring accurate and timely processing of invoices, managing vendor relationships, and maintaining strong internal controls. This position is responsible for the supervision of the Accounts Payable team and oversees the day-to-day processes and ensures deadlines are met. The Accounts Payable Manager ensures proper record keeping of expenses to have accurate financial records and reporting.
Essential Functions (Including but not limited to):
• Manage accounts payable team and the end-to-end accounts payable process, including invoice processing, payment approvals, and disbursements.
• Establish and maintain relationships with new and existing vendors.
• Create and maintain vendor profiles upon internal requests while requesting proper vendor documentation.
• Ensure employer identification numbers or social security numbers have been collected from all vendors for the payables clerk to prepare and submit 1099s.
• Reconcile reports regarding cash flow; ensure correct payments are made and applied in a timely manner.
• Develop guidelines for proper handling and coding of invoices to maintain general ledger expense account and inventory records.
• Monitor and enforce internal controls related to accounts payable processes, identifying and implementing process improvements as needed.
• Coordinate with various departments to obtain necessary approvals and ensure compliance with company policies and procedures.
• Analyze expense reports and other invoices for accuracy and eligibility for payment.
• Verify payments before controller’s approval by reviewing checks and vouchers.
• Process transactions and perform accounting duties such as account maintenance, recording entries, reconciling book accounts.
• Perform regular review and analysis of accounts payable aging, ensuring timely payments and proper allocation of expenses.
• Analyze aging to work with the staff to resolve outstanding balances.
• Ensure proper recordkeeping of purchases, proper filling and storage of records for use in tax preparation and periodic audits.
• Perform any other duties as assigned in support of the company needs and operations.
Qualifications/Requirements:
• College degree in a related field and 5 years’ minimum experience in accounting with 2 years’ managing two or more employees or equivalent combination of education and experience.
• Proficient skills in Microsoft Office including intermediate to advanced Excel.
• High level of accuracy, efficiency and accountability.
• Excellent research, analytical and problem-solving skills to be able to analyze and interpret data and draw valid conclusions that show understanding and insight.
• Excellent communication skills and ability to build relationships with clients and internal departments.
• Strong organizational skills that reflect ability to perform and prioritize multiple tasks and workload seamlessly with keen attention to detail and follow-up.
• Ability to work independently and collaboratively under critical time frames and work on multiple assignments and complex and sensitive information.
• Experience working in a fast-paced environment and ability to apply good work habits to effectively complete assigned tasks and contribute to the smooth operation of the company/department
Salary Range: $85,000 - $115,000
