Under minimal supervision, coordinates and schedules all surgeries, procedures and anesthesia providers for the ASC’s using EPIC/Op Time computer system. Completes documentation review for all ASC patient case logs to accurately submit to coding and compliance for charging purposes. Any missing documentation or errors found will be submitted to the responsible clinical staff member or supervisor for correction.
Primary Responsibilities:
- Ensures completion and accuracy of patient case log data entry to include but not limited to:
- Procedure timing events
- Anesthesia record (timing events, anesthesia type, preop block times if applicable, and ASA classification
- Implants, Supply and Equipment (to include timing events if applicable)
- Staff
- Completed operative note (signed and dated by provider)
- CPT and g-code completion
- Posts all ASC case logs for charging and reporting purposes
- Runs case log reports as directed by the OR Supervisor and/or ASC Director
- Interacts directly with ASC Supervisors, charge nurses, physicians, anesthesia providers, materials management, coding & compliance and ASC staff
- Accurately schedule surgical/procedure case requests from the OpTime case depot. Verifying all case information is complete and accurate including the notation of any special time, equipment, supply and patient requests
- Assist specialty offices with offsite campus case scheduling as needed
- Arrange daily room schedule and patient lineup with the assistance from the OR supervisor, charge RN and preop call office nursing team
- Schedule anesthesia providers for all rooms at the ASCs as directed by the Facility Medical Director
- Coordinates any changes/alterations in the surgery schedule as directed by the Charge person/Supervisor
- Interacts directly with surgeons/MDs, OR supervisor, charge nurse, preop call staff and specialty office schedulers
- Takes brief, clear, & complete messages
- Distributes messages or pertinent information to appropriate staff in a timely manner
- Acts as a resource person to ASC staff and surgeon scheduling offices
- Monitors Quality Assurance mechanisms and gathers statistical data assigned
- Maintains professional growth and development by attending workshops and seminars

Required Qualifications:
- High school degree/GED or equivalent experience
- 1 years of experience working as a patient service representative or similar role in healthcare
- Solid knowledge of surgical procedures and medical terminology
- Proficient in Microsoft Office Suite
- Full COVID-19 vaccination is an essential job function of this role. Candidates located in states that mandate COVID-19 booster doses must also comply with those state requirements. - Filing Experience
- Thorough knowledge of the PHS/HSM and on-line booking system
