Job Summary
UCSF is seeking an organized, energetic Event Specialist to assist in planning, organizing, and implementing events and functions, which may include symposiums, conferences, program events, banquets, and VIP briefings. May independently manage small, non-complex events.
The Conference Services Event Specialist assists in planning, organizing, and implementing events and functions varying in scale, including departmental meetings, conferences, program events, and banquets. This role will coordinate activities that take place in Campus Life Services (CLS) conference center venues across multiple campus locations, including Mission Bay Conference Center, Millberry Union Conference Center, the Aldea Center, and the Conference Center at the Valley Center for Vision. Venue clients may include UCSF faculty, staff, and students, as well as international dignitaries, government officials, and non-profit and corporate clients.
The position requires a high level of professionalism and excellent administrative skills to support event programs. The successful candidate has strong written and verbal communication skills, is well-organized and detail-oriented, and can learn our event calendaring software (EMS) and room layout software easily. This role is expected to establish and maintain effective working relationships with colleagues and outside office contacts. This position will also work closely with UCSF departments that will utilize our conference center venues and must be adept at developing relationships with key partners.
The successful candidate is a self-starter who thrives in a fast-paced, team-focused environment where customer service is highly valued. The Event Specialist 2 possesses critical thinking and creative problem-solving skills. The Event Specialist must be able to work a flexible schedule as many events happen on nights and weekends, as well as work autonomously under general supervision.
This position reports to the Conference Services Venue Manager
Work location: Mission Bay and Parnassus campuses
***NOTE: This role has some evenings/weekends hours based on the event schedule.

Conference Services is responsible for the planning, management, and execution of the university's conference services strategy and oversees the Mission Bay Conference Center, Millberry Unioin Conference Center, the Aldea Center, and the Wayne and Gladys Valley Conference Center. Collectively, the conference centers offer dozens of designated meeting spaces, including executive boardrooms, outdoor patios, banquet rooms, auditoriums, and conference rooms. Conference Services is charged with developing new programs and services, including the start-up of a self-operated business model for all three centers that meets the post-pandemic demand.

Required Qualifications
- Bachelors' degree in related area and / or equivalent experience / training.
- Minimum 1-2 years relevant experience.
- Working organizational skills, including skill in effectively coordinating and organizing multiple details. Excellent organizational abilities appropriate to effective calendar management and student and / or volunteer scheduling.
- Good interpersonal communication skills and political acumen, including skill in effectively representing the campus, medical center or other university organization to its publics.
- Good judgment and effective decision-making and problem resolution skills, including skill to recognize and deal effectively and appropriately with real and potential problem areas, including skill to determine the issues / problems that need to be brought to the attention of higher level staff and / or management.
- Ability to work in diverse groups, including but not limited to students, staff, faculty, general public, production personnel, technical operators and performing artists.
- Ability to work professionally under pressure and under tight deadlines ensuring excellent customer service support.
- Working knowledge of concepts, principles and practices of event planning and production and public relations.
- Demonstrated abilities in Microsoft Office Suite (Word, Excel, Powerpoint, Access).
Preferred Qualifications
- Working knowledge of the campus, its programs, policies, mission, goals, objectives, achievements and infrastructure.
