UNCW's Office of the Arts inspires the UNCW campus and the Wilmington community, curating diverse and distinctive cultural programming to shine a spotlight on the intellectual life of the campus. Arts programming at UNCW is international in scope with a focus on artists from North Carolina and the coastal south. Performances and residencies encourage connection among people and across disciplines, including the five academic arts departments and all four colleges of the university. We cultivate the curiosity of UNCW's students, faculty, staff, and community through our shared commitment to creative inquiry, critical thinking, and thoughtful expression. UNCW's Office of the Arts provides coordination for cultural arts activities campus-wide including UNCW Presents. The office provides management and oversight to the operations of UNCW's performance venues (Kenan Auditorium and Cultural Arts Building.) We serve as liaison with local, regional, state and national entities, organizations and artists in establishing effective partnerships, highlighting the cultural profile of the institution.

Brief Summary of Work for this Position
The Business Services Coordinator provides:
  • Overall fiscal monitoring, analysis, planning and budget forecasting of multiple funding sources. Develops and presents budgetary analysis reports for management regarding Kenan Auditorium box office ticket sales, Kenan Auditorium rentals, UNCW presents programming, and general fund accounting.
  • Processes student and non-student temporary job assignments including payroll analysis. Inputs, monitors, and verifies compliance of independent contracts.
  • Reviews and reconciles procurement activity and operating budget for UNCW Presents, Cultural Arts, and Kenan Auditorium. Must provide budget information for forecasting cash flow and expenditures. Reconciles transactions for p-card purchases in WORKS. Ensures personnel are compliant with purchasing guidelines and policies.
  • Communicates with a wide variety of internal staff and external agencies and ensures procedures are followed regarding billing and the utilization of UNCW arts facilities.
  • Executes all financial processes including, but not limited to external and internal invoices, purchase orders, check requests, travel authorizations, reimbursements, and event reconciliations.
  • Responsible for the provision of office resources for the Office of the Arts to do its work, including computer software, office supplies, and information regarding general UNCW policies and procedures.
  • Ensures adherence to policies, standards and accounting principles regarding all expenses, tracking, fiscal monitoring, and develops reports for management on Grant Funds.
  • Procures and processes all grant funded financial obligations and pay assignments.
  • Provides customer service, front-of-house support and merchandise sales for events held in Kenan Auditorium.
  • Processes, reconciles, and submits accurate deposit transactions & receipting for the Office of the Arts.
  • Assists with entering travel pre-approvals and processes expense reports for visiting artists and independent contractors and ensures procedures and accounting practices are followed.
Minimum Education and Experience Requirements
Bachelor's degree in accounting, business administration, or a related discipline or an equivalent combination of training and experience. All degrees must be received from an appropriately accredited institution.
Preferred education, professional skills and experience
  • Ability to obtain, compile, and interpret data in order to provide analytical support.
  • Demonstrated strong Microsoft Excel skills, including, experience with formulas and pivot tables.
  • Ability to manage and prioritize a wide variety of tasks and meet deadlines in a timely fashion.
  • Ability to work independently.
  • Ability to establish and maintain effective working relationships with all levels of university administration, faculty, staff, and students.
  • Dedication to providing timely and effective customer service.
  • 3-5 years of business or public administration work experience in a university or non-profit setting (fund accounting environment).
  • Knowledge of Ellucian Banner or demonstrated experience on a similar scale ERP system with an ability to quickly and effectively learn various university software systems.
