UWMC Operations and Maintenance has an outstanding opportunity for a full time day shift ANALYST.
Position Purpose:
Provide a wide variety of analytical, strategic, and operational support to the O&M department and various other multi-disciplinary teams within the organization.
Position Complexities:
Familiarity with and functional understanding of a wide range of hospital facility and medical equipment, systems, processes, and operational needs.Ability to effectively communicate among other team members, partner departments, UWMC Administration, other UW Medicine entities, other UW teams (Facilities Services, Project Delivery Group, Emergency Management, Campus Engineering, UW-IT, Health Sciences Administration, etc.), and the wider UW Community (SCCA, etc.).
Position Dimensions and Impact to the University:
Efforts provide varying degrees of support to help ensure facility and medical equipment is documented and maintained, utility loss mediation plans are developed, UWMC/UW utility infrastructure strategic improvement planning moves forward, long term financial stability is pursued through deliberate multi-disciplinary equipment and system replacement planning, and similar collaborative efforts continue to benefit staff and support effective and safe patient care to help the UWM mission to Improve the Health of the Public.
Duties and Responsibilities:
Assets and Preventative Maintenance (PM): Collaborate with various team members in efforts such as the Facilities Condition Assessment (FCA) to re-baseline O&M fixed equipment asset database and update/create PM schedules, procedures, and accompanying documents.Develop and implement strategy to physically label all fixed equipment, including new and "heritage" numbering method cross references - ensure labels are updated for all new installations, removals, and applicable changes.Continually support and improve departmental Computerized Maintenance Management Systems (CMMS) with asset and maintenance data for both fixed and moveable assets (CMMS platforms include TMS and FileMaker) -50%
Transition to Occupancy/Operations (T2O): In collaboration with Design & Construction Management (DCM), close partnering with PDG T2O leadership on strategizing, evaluating and selecting consultants, developing transition services requirements, etc.Efforts designed to improve project delivery for UWMC and all of UW, with a primary focus on having asset and maintenance procedure data properly prepared and ready for rapid CMMS inport on all projects of all sizes.Ensure all CMMS records are properly updated for every construction project and equipment change (involves adding, removing, and updating various records). Collaboration with PDG, DCM, and consultants to create UWMC focused master specifications and an accompanying design and construction guide to help direct future projects - documenting standard inspections during construction, access hatches, floor drains, fire alarm expectations, design reviews, room numbering, etc. -15%
Space management master room database: Maintain and further develop space inventory for facilities.Will ultimately expand to address 7,000 rooms at multiple campuses - documenting size, department, function, name, number, coordinates, asbestos records, air pressure relationships, etc. Database will need to be maintained routinely for any changes to room numbers, and significant retroactive work is needed to reflect space usage changes from many past projects Periodically update various external resources that rely on accurate building floorplans and room numbers -10%
Energy Efficiency Data Compiling for Regulatory Compliance and Organization Award Applications: In collaboration with Environmental Services, compiling energy use and facility performance data and narratives for successful annual Practice Green Health submission. For legally mandatory Seattle Building Tune Up program, collaborate with vendor, City of Seattle, O&M staff, etc. to collect data, schedule meetings to plan system adjustments, etc..Refinement, expansion, and routine updating of EPA Energy Star Portfolio Manager shared data, and sharing electronically with key parties -5%
WA State Energy Service COmpanies (ESCO) energy improvement projects support: Support and manage complex process for receiving awarded funds for HVAC upgrade projects, etc. in the UW system.Oversee collaboration between O&M and UWMC Accounting. Become a UW Principal Investigator (PI) and participate in training geared for Pis throughout the research community - necessary to receive awarded grant money. Tracking and "shepherding" ESCO project bills that require various approval steps from DES, multiple O&M levels, UWMC Accounting, and vendor via email and Ariba system.Not all ESCO projects involve grant money or the associated steps to receive it, but they require the same bill processing.-5%
Emergency Management (EM) / Utility Vulnerability Analysis and Mitigation Planning -5%
O&M departmental and other UWMC overall support and special projects: Help management team develop required departmental staff training requirements and schedules, documentation, etc.Digital signage configuration and ongoing update of All Trades PM listings, etc.Help produce and present EOCC reports for utilities as needed.Collaborating with Epic and Patient Flow teams to improve access to patient rooms for maintenance. Compiling data and reports for Puget Sound Clean Air Agency (PSCAA) Supplemental Environmental Projects (SEP). Support development of custom digital tools like FileMaker shutdown and ICRA/ILSM databases. Overall system documentation.Collaboration with UW Facilities Information Library (FIL) team on project document access for O&M teams.O&M strategic planning.Leadership meetings.Departmental staff overall support. Development of special procedures and SBARS (ice machine cleaning, medical refrigerator replacements, etc.) Evaluation of isolation exhaust systems.Various other duties and special projects as assigned. -15%
Minimum Qualifications:
Bachelor's Degree
AND
4-5 years of Computerized Maintenance Management system experience or equivalent experience/education.
Environmental Conditions:
Must be able to navigate stairs, climb ladders and enter loud mechanical rooms with potential occupational risks including rotating equipment, high voltage, etc.
The expanded role of Bed Shop management will be in addition to the vast majority of other tasks currently performed as an O&M analyst.
