POSITION PURPOSE
The Research Coordinator Lead is responsible for coordinating and assisting with research, and the coordination of a large national research project. This position functions as facilitator with and communicator to project and client investigators, assists in coordinating inter-institution and inter-departmental arrangements and agreements, attends to scientific needs and aids in assuring the completion of all requirements to ensure project success. The Research Coordinator Lead reports directly to Principal Investigator and oversees a team.
This position will support faculty leads in the development and implementation of research policies, procedures, data collection methods, strategies for data management and development and refining study procedures for recruiting, intervening, collecting and summarizing data as needed; write technical reports on the project data and data handling procedures. The Research Coordinator Lead functions as facilitator with and communicator to project and client investigators, coordinates inter-institution and inter-departmental arrangements and agreements, human subjects recruitment, attends to scientific needs and assures completion of all requirements to insure project success. The Research Coordinator Lead reports directly to the Principal Investigator and works closely with a team. A significant amount of in person work is necessary at the University of Washington Medical Center and some tasks at Children's Hospital.
This position will work with collaborators and client investigators and their institutions and with multiple UW departments (e.g., Office of Sponsored Programs, Human Subjects Division, UW TechTransfer, and other outside research sites) to insure timely and correct implementation, administration, progress and completion of research projects.
DUTIES AND RESPONSIBILITIES Research Management (40%)
- Works with senior study staff to coordinate the local site of large, collaborative research project with multiple departments within UW and Seattle Children's Hospital (e.g., Office of Sponsored Programs, Human Subjects Division, UW Tech Transfer, Grant and Contract Accounting) to ensure timely and correct implementation, progress and completion of research projects.
- Work with faculty leads and senior project staff in the development and implementation of research policies, procedures, data collection methods, strategies for data management and development and refining study procedures for recruiting, intervening, collecting and summarizing data as needed; works with project staff to write technical reports on the project data and data handling procedures.
- Analyze study data to develop responses to inquiries from collaborating and client investigators and institutions, funding agencies and UW departments as needed.
- Oversee the recruitment of human subjects. Lead Supervision (20%)
- Oversee daily research coordination operations to ensure accuracy and efficiency.
- Act as a mentor to two full-time Research Coordinators and part-time Student Assistant(s).
- Provide guidance and feedback as needed. Project Liaison (15%)
- Serve as primary point of contact for study applicants and their families.
- Coordinate study participant travel arrangements.
- Enter and send clinician-requested medical orders into Epic.
- Manage and track participant medical records and test results.
- Coordinate project meetings for clinical researchers and providers.
- Facilitate program outreach activities.
- Work with coordinating center staff to address study inquiries and manage application routing and management. Project Management (15%)
- Plan, attend, and, participate in national and local calls and meetings; coordinate follow-up actions with stakeholders and initiate communication to meet study objectives.
- Analyze data and prepare complex information and materials in response to agency inquiries and compliance requirements.
- Monitor project goals and timetables and facilitate completion of research and administrative activities within project timelines.
- Schedule and facilitate local clinical site meetings (including recording meeting minutes). Information Management (10%)
- Maintain data bases for the project. Post to specific web sites to support and facilitate completion of research project goals; maximize operational consistency across research projects.
- Manage the transfer of data across sites and maintain data security and restricted access to the data. Follow established data collection, and quality control procedures for the various projects and sub-projects and assist in procedure optimization as needed.
- Identify data operational issues, and/or problems and work directly with IT staff to resolve problems as they arise.
- Provide technical assistance to research staff and study clinicians as neededIndependently, and in collaboration with laboratory staff, update, maintain and troubleshoot project web sites.
- Assist in the development and maintenance of local site's collaboration platforms. MINIMUM REQUIREMENTS Bachelor's Degree in a scientific discipline, communications, public administration, public health or a related field AND a minimum of two years of experience interacting with patients and/or their families or healthcare providers in a healthcare setting. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS
- Excellent written and oral communication and relationship management skills.
- 1 year minimum of study coordination experience.
- Web experience.
- Excellent work ethic and strong organizational skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Ability to independently set priorities and effectively handle interruptions.
- Ability, when necessary, to work under pressure and remain focused. DESIRED QUALIFICATIONS
- Prior experience/interested in working with medically complex individuals.
- Experience with clinical research coordination at UW Medical Center and/or Seattle Children's Hospital.
- Proficiency with Epic EMR.
- Familiarity with electronic medical records (EMR).
- Experience with REDCap for data tracking as well as research data collection.
- Experience with research involving human subjects. CONDITIONS OF EMPLOYMENT
- Responsible to work varied and extra hours as needed to meet project deadlines and program needs.
- Daily interactions with other team members, subject matter experts and stakeholders at all levels of the UW, other institutions and funding agencies.
- Infrequent evening and weekend travel to study meetings may be necessary.
- Possibility of 20-40% remote.
