Who you are:
The Office Operations Manager supports 2-3 Senior Leadership Team Members in administrative excellence required to carry out the strategic goals of Union Square Events. They will embody our beliefs while exuding a high level of professionalism, discretion, and creative problem-solving. The successful candidate will undertake a variety of administrative duties and HR tasks, contributing to the efficient operation of the organization. This position is located at a Premium Hotel in New York City.
What you'll do:
Administrative Support
- Provide strategic support to our Senior Leadership Team based on an innate understanding of key priorities, objectives, and leadership styles.
- Manage the forecast calendar by inputting and updating data related to future plans, events, or projects, ensuring accuracy and timely updates.
- Structure calendar cadence to support long-term business objectives while strategizing and implementing processes to maximize time.
- Actively participate in meetings, taking the lead with action items and keeping team members on track for completion.
- Lead for all Philanthropic activities – organize and coordinate with managers and frontline teams (ie City Harvest, Soup Kitchens, God’s Love, Food Bank NYC, Cancer Walks)
- Indirect Support for Culinary and Banquet Management and Administrative teams. When time permits, assist with daily duties of the management team.
- Manage Office Expenses, coordinate and seek approval for all office expenses.
- Lead for Back of House and Café Signage, ensure a constant look for all signage in the café. Also ensure all spelling, dietary restrictions, allergens are correct for café signage.
- Ensure administrative excellence and the embodiment of our beliefs within the daily operations of the Senior Leadership Team.
Project Management
- Support senior leaders on special projects such as new business openings, training programs, manuals, materials.
- Develop comprehensive project plans, setting timelines, roles, responsibilities, and goals to ensure the task completion.
- Engage with stakeholders, understanding their needs, expectations, and concerns, and incorporates their feedback into projects.
HR Support
- Act as the lead for employee engagement: 100 Club, Monthly Newsletter, bulletin board, monthly birthdays and anniversaries, promotion celebrations, employee recognition, employee team building, and team lunches.
- Support Human Resources with onboarding of management team: security badges/building access, IT support (CI access, phone, email.)
- Liaise between USE/USHG Home Offices and NYMM USE Team: keep team up to date on activities at the Home Office, new company initiatives, promote engagement from the NYMM Team
What we need from you:
- Bachelor’s Degree or at least 2 years in an Executive Assistant role required.
- Proficiency in Microsoft Office Suite.
- Keen attention to detail and the ability to prioritize.
- Ability to use discretion and maintain highly confidential information.
