Job Summary
Print & Mail Services is owned and operated by the University of Utah, is part of Auxiliary Services, and is expected to be self-supporting, receiving state funds only for non-revenue generating services; such as, centralized Campus Mail services. 

The department is comprised of five units, each supported by an Administrative Manager:

  • Accounting/Admin
  • Customer Service
  • Media Solutions/IT
  • Production, which includes: digital print, offset/stationery printing, wide format printing/finishing, bindery, and marketing/production mail
  • Distribution, which includes: Campus Mail, meter mail, delivery, and receiving

Position Summary:

  • In conjunction with the Associate Vice President of Auxiliary Services, develops and implements policies and procedures related to each of the subunits focusing on customer service, staff management, and budgetary goals and objectives.
  • Directs all operations of the University of Utah Print & Mail Services with an approximate annual revenue of $5.3 million, supported by a staff of 21 full-time and 4 part-time employees.
  • Provides expertise for all Print & Mail Services’ functions and/or supports the expertise of unit managers with a focus on quality, on-time delivery, process improvement, goal setting, and ongoing business development.
  • Works proactively and collaboratively with peers in Auxiliary Services, the University of Utah, and University of Utah Health. With specific collaboration with Auxiliary Business Development, Marketing & Communications (main campus), and Public Affairs & Marketing (UHealth) regarding university marks and branding.
  • Sets an example and tone for staff that customer service and the University of Utah’s Mission & Values are forefront in day-to-day decision-making.
  • Administers all aspects of the department’s operations, including; determination of services, technology, pricing policies, work schedules, production protocols, training and supervising personnel, customer service requirements, operating hours, and financial operations, (including fiscal and inventory controls).
  • Administers, formulates, and directs the implementation of realistic operating budgets.
  • Engages in active and assisted problem-solving at all levels of the operation.
  • Investigates business trends, including software, equipment, and services – current and future.
  • Engages in customer outreach including representation in various committees; survey feedback launch, review, and follow-up; and the exploration of opportunities to add value.
  • Analyzes and responds to patterns related to workflow, spoilages, staff performance, customer relations, etc.
  • Along with the designated manager and accounting supervisor, may assist with the review, purchase, and maintenance planning of equipment.
  • Along with the designated manager and accounting supervisor, may oversee the procurement of supplies and cost of goods associated with production operations. This has been of particular import given ongoing supply chain issues and paper shortages.
Responsibilities
With your leadership team, create a print and mail operation that fosters leadership, professionalism, and provides vision and direction in accordance with University goals and objectives. Establish long-range financial, customer service, and service offering objectives that best support the University’s Mission of providing excellence in education and service. Set an example of and reinforces superior business ethics. Insists upon integrity and accuracy of the delivered product/service, operations, and documents. 

Lead and direct the management team by providing, monitoring, and evaluating performance and progress in meeting established objectives. Establish and maintain policies and procedures to address operational and long-term profitability and customer service goals, including; a quality finished product/service, on-time delivery, value add, cash handling, pricing standards, spoilage prevention, and customer relations. Establish and maintain internal controls for quality, accounts receivables, and payables. Provide regular updates regarding the financial and operational status of the department for University Administration. 

Provide leadership and vision related to technology and systems used to conduct online and in-person business. Provide leadership and vision related to hiring, salary levels, retention, career building, equity, diversity, inclusion, and utilization of employee resources. Provide training and guidance in work responsibilities; plan, assign, and direct work; reward and discipline employees; address complaints and resolve problems. Recommend, support, and encourage training programs, work environments, and compensation that are fair and equitable, and improve employee job performance and satisfaction. Create and support a professional, safe, and secure work environment. 

Foster and coordinate interaction between Print & Mail Services and University Departments. Respond to internal and external concerns and recommendations with resolutions in coordination with the Associate Vice President of Auxiliary Services.

Research and recommend programs, policies, and procedures to improve the effectiveness and efficiency of print and mail service offerings, including technology, internal controls, and customer service. 
Other duties and projects as assigned by the Associate Vice President of Auxiliary Services.

  • Dress appropriately for a workplace with frequent customer service interaction and community outreach.
  • Meet all required standards of confidentiality and safety. Maintain work areas in a clean and orderly manner.
  • Work some early mornings, extended evenings, weekends, and holidays as deemed necessary to meet store objectives of customer service and profitability.

Minimum Qualifications
Bachelor’s degree in Business Administration or related area, or equivalency; eight years of progressively more responsible management experience; and demonstrated leadership, human relations and effective communications skills required.

Preferences
Bachelor’s degree plus ten years production industry experience (University preferred) and five years supervising in a production environment; or any satisfactory combination of experience and training that demonstrates the knowledge, skills, and abilities to perform the above duties. Broad knowledge of print and mail operations and management. Become immediately familiar or knowledgeable of related policies specific to print and mail operations at an institution of higher education. Must be proficient in the use of a computer, including the Microsoft Suite, and print/mail industry MIS such as Presswise, Printsmith, or other similar software systems. Must have effective verbal and written communication skills. Must be self-motivated and have the initiative to work independently to meet production objectives, deadlines, and resolve customer, employee, and/or vendor issues. Experience as a member of the senior management team at a print and mail operation at a Tier 1 Research Institution.
